Real Estate Paralegal - Transaction Coordinator
Job Description
Job Description
About the Role
Equitas Law Partners, Title & Settlement Division is a residential real estate firm built around a simple idea: when technology handles the repetitive work, our people are free to do what software cannot — anticipate problems, solve them, and take exceptional care of every client throughout the entire closing process. We are hiring an experienced Real Estate Paralegal whose primary focus will be file coordination, with structured cross-training across every facet of the residential closing transaction.
In this role you will be the organizational backbone of our files — keeping transactions moving from contract to closing to post-closing — while developing into a well-rounded closing professional capable of stepping confidently into any part of the process. You will work alongside a team that has invested heavily in best-in-class technology specifically so that your time goes toward client service and problem-solving rather than data entry.
Required Qualifications (Non-Negotiable)
Candidates must meet every requirement below to be considered:
• Current North Carolina residential real estate experience — a minimum of two (2) years of recent, hands-on experience in residential real estate closings in North Carolina.
• In-office availability — able to work on-site, full-time. This position is not remote nor hybrid.
• Active North Carolina Notary Public commission (or the ability to obtain one promptly upon hire).
• Comfortable learning and utilizing advanced technology — genuinely at ease learning and working within sophisticated software platforms, and eager to use technology to work smarter.
Our Technology Environment
We deliberately minimize manual data entry and routine, mundane tasks so our team can concentrate on customer service and problem-solving. You should be excited to work within — and continually learn — a modern technology stack that includes:
• ResWare — title and closing production platform
• CertifID — wire fraud prevention and identity verification
• Alanna — client communication and transaction automation
• Pythonic — workflow automation that reduces repetitive data entry
Prior experience with these specific tools is a plus but not required; demonstrated aptitude for learning advanced software quickly is essential.
What You'll Do
Primary focus — File Coordination:
• Open, organize, and maintain residential closing files from contract through post-closing, ensuring every file is accurate, complete, and audit-ready.
• Track critical dates, deadlines, and contingencies, proactively keeping each transaction on schedule.
• Order, review, and manage title searches, surveys, payoffs, HOA documents, and lender requirements.
• Serve as a coordination point among clients, agents, lenders, attorneys, and other parties to keep information flowing and issues surfacing early.
• Maintain data integrity across ResWare and connected platforms, leveraging automation to reduce manual entry.
Cross-training — Full Closing Transaction:
• Train across all phases of the closing process — title examination and clearance, scheduling, preparation of closing documents, conducting closings, disbursement, and recording.
• Verify and protect funds using CertifID and firm wire-security protocols.
• Step in flexibly across roles as transaction volume and team needs require.
• Deliver responsive, professional client service and bring a calm, solutions-oriented approach to the problems that inevitably arise in real estate transactions.
The Ideal Candidate
• Brings full-range residential real estate closing experience and understands how the pieces of a transaction fit together.
• Is highly organized and detail-oriented, with the discipline to manage many files and deadlines at once.
• Is a clear, professional communicator who clients and colleague's trust.
• Embraces technology as a tool to work more efficiently and accurately.
• Thinks like a problem-solver — anticipating issues and resolving them before they reach the closing table.
Compensation & Benefits
• Strong salary commensurate with experience
• Health insurance
• 401(k) retirement plan
