This Project Coordinator role supports project teams by keeping projects organized, on schedule, and thoroughly documented. You will work closely with Project Managers, field personnel, vendors, customers, and internal stakeholders to provide administrative and coordination support across multiple active projects. This position is ideal for candidates with strong coordination, administrative, customer service, operations, or office support backgrounds who are eager to learn and grow within the construction industry.
Responsibilities
- Provide comprehensive administrative and coordination support to Project Managers and project teams throughout the project lifecycle.
- Maintain accurate and up-to-date project files, documentation, logs, and correspondence in an organized and accessible manner.
- Track project deliverables, deadlines, and key milestones to help ensure projects remain on schedule.
- Assist with processing purchase orders, invoices, change orders, and other project-related paperwork in a timely and accurate fashion.
- Coordinate internal and external meetings, including scheduling, preparing materials, and maintaining meeting notes and action items.
- Communicate regularly with customers, vendors, and internal teams to provide project updates and clarify requirements.
- Support material procurement activities and monitor delivery status to ensure timely availability of project materials.
- Assist with project reporting and data entry, ensuring information is complete, accurate, and properly formatted.
- Help prepare closeout documentation and project turnover packages to support successful project completion and handoff.
- Perform other project support duties as assigned to contribute to the smooth execution of projects.
Essential Skills
- Minimum of 2+ years of experience in project coordination, administrative coordination, operations support, or office management.
- Strong organizational skills with the ability to manage documentation, schedules, records, and project-related information effectively.
- Proven ability to multitask and manage multiple priorities in a fast-paced environment.
- Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.
- Strong written and verbal communication skills with the ability to interact professionally with internal and external stakeholders.
- Demonstrated experience supporting project-based work or coordinating activities across teams.
Additional Skills & Qualifications
- Exposure to project-based environments such as construction management, engineering, or MEP settings.
- Experience using project management or document management software.
- Knowledge of invoicing, purchase orders, contract documentation, change orders, or billing support processes.
- Associate's or Bachelor's degree in Business, Communications, Project Management, or a related field.
- Experience supporting multiple stakeholders across different departments or functional areas.
- Interest in breaking into the construction industry and learning from experienced project teams.
- Motivation to grow within a project coordination or operations-focused career path.
Work Environment
This is a 100% onsite position based in an office environment five days per week. The standard schedule is Monday through Friday, 7:30 AM to 4:30 PM. You will join a close-knit office of approximately 30 team members and support a team of Project Managers and operations personnel across multiple active projects. The work environment offers training and mentorship from experienced project teams, as well as exposure to large-scale commercial, industrial, and mission-critical projects. The culture emphasizes collaboration, hands-on learning, and direct engagement with project stakeholders in a professional office setting.

This is a Contract to Hire position based out of Madison Heights, MI.
Pay and Benefits
The pay range for this position is $24.00 - $33.00/hr.
