Property Manager Position Description
The Property Manager is a key operational role responsible for managing the day-to-day operations of assigned residential, commercial, and condominium properties while supporting the Senior Property and Operations Manager, Director of Operations, and Managing Principal in overseeing the company’s growing portfolio.
This position works collaboratively with the operations team to ensure properties are maintained at a high standard, tenant and client needs are addressed promptly, and company systems and processes are consistently followed. The Property Manager will serve as a backup resource for portfolio management responsibilities, providing coverage during staff absences and assisting with the coordination of property operations, vendor management, tenant communications, documentation, and administrative processes.
The successful candidate will be highly organized, detail-oriented, technology-focused, and interested in improving operational efficiency through better systems, procedures, and adoption of company technology, including Buildium.
Essential Functions
• Manage the day-to-day operations of assigned residential, commercial, and condominium properties.
• Assist the Senior Property and Operations Manager, Director of Operations, and Managing Principal with the overall management and performance of the company’s portfolio.
• Serve as a primary point of contact for tenants, clients, condominium associations, vendors, and contractors regarding property-related matters.
• Provide backup coverage for property management responsibilities, including tenant communications, work order coordination, vendor follow-up, and client requests.
• Participate in the company’s on-call rotation and provide after-hours coverage for emergency maintenance and tenant issues as scheduled.
• Work collaboratively with the operations team to monitor property performance, identify issues, and ensure timely resolution of tenant and property needs.
• Support the implementation and continued adoption of Buildium as the company’s primary property management platform, including improving workflows, data accuracy, reporting, and staff utilization.
• Assist with the organization, maintenance, and digitization of company records, including leases, vendor contracts, inspections, maintenance records, tenant communications, and property documentation.
• Maintain efficient digital filing systems and procedures to improve accessibility, organization, and compliance.
• Assist with processing and tracking maintenance requests, vendor communications, and property-related projects.
• Coordinate with vendors and contractors to schedule work, obtain updates, verify completion, and maintain accurate records.
• Assist with tenant onboarding, lease administration, renewals, notices, and customer service communications.
• Support accounts payable and financial tracking processes, including invoice review, coding assistance, and ensuring expenses are properly documented.
• Assist with property inspections, preventative maintenance tracking, and compliance documentation.
• Prepare reports, summaries, and operational updates for internal review and client communication.
• Assist with capital improvement projects, including gathering proposals, coordinating schedules, tracking progress, and maintaining project records.
• Help develop and refine company procedures, checklists, and workflows to improve efficiency and consistency.
• Provide operational support during staff vacations, absences, and periods of increased workload.
