The Role


TRADEMARK is seeking a highly experienced Site Selection Lead, West Coast, to lead venue sourcing, destination strategy, and hospitality partnerships across a portfolio of enterprise clients throughout the Western United States.


This role serves as the strategic lead for hotel and venue procurement, responsible for identifying, evaluating, negotiating, and securing venues that align with client objectives, attendee experience goals, operational requirements, and budget expectations.


The ideal candidate is a hospitality and events industry expert with extensive relationships across hotels, convention centers, resorts, and destination organizations. They are equally comfortable advising clients, leading negotiations, developing sourcing strategies, and mentoring team members.


This position offers the opportunity to influence some of the industry's most visible conferences, executive events, sales kickoffs, incentive programs, and experiential marketing initiatives.


What You’ll Do


Lead West Coast Venue Strategy

  • Serve as the primary venue sourcing lead for West Coast locations and assigned West Coast client accounts.
  • Develop destination and venue strategies that align with program objectives, attendee experience, logistics, and budget requirements.
  • Present venue recommendations and sourcing strategies to clients and internal stakeholders.
  • Conduct market research, site inspections, and destination evaluations.


Drive End-to-End Sourcing

  • Lead sourcing efforts for conferences, executive meetings, incentive programs, hospitality events, roadshows, user conferences, and experiential activations.
  • Develop and manage hotel and venue RFPs through sourcing platforms including Cvent.
  • Analyze proposals, build comparison models, and deliver strategic recommendations.
  • Negotiate guest room rates, meeting space commitments, concessions, food and beverage minimums, attrition clauses, cancellation terms, and contract language.
  • Secure favorable business terms while minimizing risk and maximizing client value.


Manage Supplier Relationships

  • Build and maintain strategic relationships with hotels, resorts, convention centers, destination marketing organizations, tourism boards, and venue partners.
  • Develop and maintain a preferred partner network across North America.
  • Stay informed on market conditions, venue developments, renovations, and emerging destinations.
  • Represent TRADEMARK at industry events, trade shows, networking functions, and familiarization trips.


Internal Partnership

  • Collaborate closely with Producers and Client Services teams during program planning
  • Support new business opportunities by providing venue recommendations and destination expertise
  • Share market intelligence and venue insights with internal teams
  • Help build and maintain TRADEMARK's venue sourcing resources, preferred partner network, and destination database


Support Business Growth

  • Partner with Client Services, Production, Operations, and Executive Leadership throughout the event lifecycle.
  • Provide venue expertise and destination recommendations for new business opportunities and client proposals.
  • Share market intelligence, industry trends, and sourcing insights across the organization.


What You’ll Bring

  • 10+ years of experience in venue sourcing, site selection, hospitality sales, destination management, event planning, or related disciplines.
  • Experience leading sourcing programs for corporate meetings, conferences, incentive travel, executive programs, and experiential events.
  • Deep knowledge of hotels, resorts, convention centers, and unique venues throughout the Western United States.
  • Advanced hotel contract negotiation and risk management expertise.
  • Experience managing multiple large-scale programs simultaneously.
  • Strong financial acumen, budgeting, forecasting, and cost-management skills.
  • Experience with Cvent Supplier Network and venue sourcing technologies.
  • Exceptional relationship-building, communication, presentation, and stakeholder management skills.
  • Proven ability to lead teams, influence decision-makers, and operate in a fast-paced client environment.
  • Willingness to travel approximately 25%.

You'll build strong hospitality partnerships, negotiate exceptional agreements, develop scalable sourcing processes, and help deliver world-class experiences that exceed client expectations.

You will:

  • Serve as a trusted advisor to internal teams and clients, providing strategic recommendations that balance attendee experience, operational requirements, and budget considerations
  • Deliver thoughtful venue and destination recommendations that help clients create memorable, high-impact experiences
  • Build and maintain strong relationships with hotels, venues, destination marketing organizations, convention bureaus, and hospitality partners across North America
  • Secure favorable contract terms, concessions, and pricing that maximize value for both TRADEMARK and our clients
  • Bring creative solutions and destination expertise that elevate client programs and support business development opportunities
  • Establish scalable processes, tools, and best practices that improve the efficiency and consistency of TRADEMARK's site selection efforts
  • Create and maintain a robust network of preferred partners that strengthens TRADEMARK's position in the marketplace
  • Stay ahead of industry trends, emerging destinations, venue developments, and hospitality innovations
  • Build and develop a high-performing site selection team over time, fostering collaboration, accountability, and exceptional client service
  • Contribute to the successful execution of world-class events and experiences that exceed client expectations
