JOB SUMMARY:
The Clinical Applications Associate provides foundational support for clinical applications and EHR systems across the organization. This role is focused on responding to user inquiries, performing system configurations such as schedule building, and assisting senior staff with implementations and record integrity. The Associate works under general supervision to ensure application functionality and gain proficiency in clinical workflows. This role requires availability for some weekend and evening coverage as needed for go-live events or system updates.

ESSENTIAL JOB FUNCTIONS:
System Implementation & Support Assistance
- Assist Level I and II Specialists with the rollout of clinical application upgrades and new system modules.
- Perform data entry, system testing, and validation of configuration changes under guidance.
- Help execute User Acceptance Testing (UAT) scripts and document results or defects for review by senior team members.
- Support onsite "go-live" activities by providing elbow-to-elbow support for frontline clinical staff.
Application Maintenance & Troubleshooting
- Serve as the initial point of contact for clinical application helpdesk tickets.
- Diagnose and resolve issues related to user access, template usage, and standard EHR workflows.
- Escalate complex technical bugs or integration failures to Tier I or Tier II Specialists according to established protocols.
- Document support activities and resolutions clearly within the ticketing system.
Administrative Configuration & Data Integrity
- Build and maintain provider schedules, including the management of templates, appointment types, and time blocks.
- Manage patient record integrity by identifying and merging duplicate patient accounts across clinical systems.
- Perform routine "health checks" on applications and assist in the documentation of system updates or patches.
- Assist in manual data cleanup projects to ensure system integrity and compliance with data governance standards.
Workflow Awareness
- Participate in workflow assessments to learn how clinical teams use technology in daily practice.
- Assist in the maintenance of "How-To" guides to reflect minor system changes or configuration updates.
- Ensure all support activities align with clinical quality, HIPAA compliance, and organizational priorities.
Requirements:
SKILLS & ABILITIES:
- Technical Aptitude: Ability to learn EHR navigation and administrative back-end configurations.
- Detail Orientation: High level of accuracy in managing schedules and sensitive patient data.
- Problem Solving: Ability to follow established protocols and "if/then" workflows to resolve common user errors.
- Communication: Strong verbal and written skills; ability to explain technical steps to clinical users.
- Collaboration: Ability to work effectively within a team and take direction from technical mentors.
EDUCATION & CERTIFICATIONS :
- Required: Associate’s degree in Health Informatics, Healthcare Administration, IT, or related field; OR equivalent experience in a clinical or help-desk setting.
- Preferred: Current or Previous eClinicalWorks certification.
EXPERIENCE:
- 0–2 years of experience in a clinical setting or a technical support environment.
- Familiarity with eClinicalWorks, Phreesia, or Luma Health is a plus.
- Prior experience managing schedules or electronic patient records is preferred.
