The Facilities Data Specialist (ePRISMS) position with Gryphon Environmental, LLC/Erica Lane Enterprises is a DoD-contracted position in support of the Directorate of Public Works (DPW), 88th Readiness Division (RD), United States Army Reserve. The supported organization manages approximately 260 sites comprising roughly 820 facilities across a 19-state area of responsibility. Managing these assets and allocating resources across this footprint requires both internal and external system-of-record database tools to be leveraged and maintained so that they can support analysis and decision-making about personnel and facilities across the entire region.
Duties and Responsibilities
- Serve as the ePRISMS administrator for the 88th RD, managing the organization’s data and interests within the Enterprise Proactive Real Property Interactive Space Management System (ePRISMS) in coordination with the OCAR ePRISMS Specialist; train authorized personnel in its use and provide improvement feedback.
- Continuously maintain 88th RD facility data in ePRISMS — floor plans, functional space types, personnel strength, organizational use of space, and occupancy — in accordance with higher-headquarters guidance, policy, and regulation.
- Reconcile legacy facility data (CAD files, as-built drawings, redlines) and update current records; produce and submit floor-plan drawings of limited, non-architectural scope to approval authorities (e.g., DCS, G-9) for entry into systems of record.
- Perform field collection of interior space data using laser distometers and CAD drawings; visit facilities as needed to validate room numbers, measurements, unit assignments, and personnel strengths for input into ePRISMS.
- Maintain an independent inventory of all 88th RD floor plans (hard copies, CADs, and PDFs) and a corresponding SharePoint database providing standardized (PDF) access; update with new as-builts following capital-improvement projects.
- Maintain a functional-space database (Excel, Access, or similar) documenting the amount of each functional space type per facility per AR 140-483, Appendix B — including net usable and gross square footage — and update it as Real Estate agreements and MTOE/TDA changes arise.
- Perform space-utilization analysis (e.g., in PAX) to determine space requirements, utilization rates, and excesses or shortfalls by functional area; generate supporting documentation for space-utilization reports, requirements analyses, and MILCON / capital-improvement justifications.
- Convert CAD data for use in GIS software; convert as-built and other CAD drawings into GIS, and assist the GIS / IGI&S Program Manager in referencing facility space data against GIS regulatory priorities (AR 115-13, SDSFIE) and stationing guidance.
- Interpret facility floor-plan utilization against regulatory guidelines to support the stationing of personnel and related feasibility studies.
- Identify data errors, research and resolve discrepancies, communicate impacts to stakeholders, and establish best practices for ongoing data maintenance.
- Build dashboards and data visualizations using commercial off-the-shelf tools (Microsoft Excel, Access, Power BI, Tableau) to support 88th RD leadership decision-making; refresh data on a recurring basis where live connections are not available.
- Prepare studies, reports, PowerPoint briefings, and white papers, and provide documentation support for Real Property Planning Boards, Construction Requirements Review Committees, planning/design charrettes, and Real Property Management Boards as required.
Travel
Normal travel requirement is approximately 4–5 trips per year lasting 3–5 days, Monday–Friday. Travel is governed by construction-project milestones and the supported organization’s obligation to audit interior and functional space requirements. Travel is approximately 10–15% of the work requirement and is fully reimbursed.
Minimum Requirements and Qualifications
- Associate degree in a related field — OR — two (2) years of related experience.
- Working knowledge of Autodesk and/or MicroStation.
- Broad knowledge of interpreting and analyzing CAD data.
- Broad knowledge of interpreting as-builts, floor plans, or blueprints.
- Broad knowledge of the Microsoft Office Suite and SharePoint, and basic principles of database administration.
- Must be a U.S. citizen.
- Must be able to obtain and maintain the favorable background investigation required for access to U.S. Army Reserve networks and systems of record (e.g., ePRISMS, PAX, SharePoint).
- Must pass a background check and pre-employment drug screening.
- Must have reliable transportation to and from the worksite.
- Ability to work independently with little to no supervision in a fast-paced environment.
- Experience managing service-provider / client relationships.
- Ability to multi-task, manage time effectively, and prioritize work.
- Highly organized with strong attention to detail; able to follow through and monitor own work to ensure quality.
- Demonstrated ability to identify, research, analyze, and resolve discrepancies and data errors, and to communicate impact to others.
- Outstanding communication and interpersonal skills; able to read, write, speak, and understand the English language to effectively carry out all contract requirements.
- Self-starter able to work both independently and collaboratively.
- Preference will be given to individuals with prior military experience and an understanding of U.S. Army Reserve Centers and their administrative hierarchy.
Preferred Qualifications
- Bachelor’s degree in GIS, CAD, Construction Management, or a related field.
- Experience producing floor plans in Autodesk and/or MicroStation (willing to train).
- Experience using interior CAD software (willing to train).
- Experience using SharePoint.
- Experience related to real property and/or building construction.
- Experience using CAD drawings in conjunction with GIS tools.
- Experience with data-visualization / business-intelligence tools (Power BI, Tableau, Access).
- Familiarity with Army real property and space-management systems (ePRISMS, PAX, RPLANS, ASIP) a strong plus.
Physical Requirements and Environmental Conditions
Work may involve sitting or standing for extended periods. The position requires typing and reading from a computer screen. Must have sufficient mobility — including walking, standing, bending, reaching, turning, kneeling, or crouching — to complete daily duties efficiently. Due to parking availability and work location, walking moderate to long distances may be required. Must be able to lift, move, and transport items occasionally up to 10 pounds.
Work is generally conducted indoors but may also involve some outside work depending on the task. The indoor environment may be an office or cubicle with close quarters, low to moderate noise, and bright or dim lighting. While performing the duties of this job, the employee may be exposed to fumes or airborne particles, moving mechanical parts, and vibration. Outside work may include various environmental conditions, including hot and cold climates. The noise level in the work environment and at job sites can be loud.
