About the Role
As a Community Association Manager, you'll oversee a portfolio of homeowner associations while serving as the primary advisor and relationship manager to each Board of Directors.
You'll coordinate day-to-day operations, guide Boards through key decisions, oversee vendors and projects, review financials, and partner with RowCal's specialized support teams to ensure every community operates efficiently and receives exceptional service.
This role is ideal for someone who enjoys building relationships, taking ownership, solving problems, and keeping multiple priorities moving forward in a structured environment while remaining flexible and open to learning RowCal's unique approach to community management. Success in this role requires someone who is organized, detail-oriented, proactive, and confident making decisions while maintaining strong follow-through and exceptional client service.
Work Schedule
- Monday-Friday, 9:00 a.m. to 5:00 p.m.
- Hybrid schedule following onboarding (3 days in the office, 2 days remote)
- Occasional evening Board meetings as needed
- Local travel throughout the Chicagoland suburbs, with communities primarily located in the south suburbs.
Core ResponsibilitiesBoard & Community Leadership
- Serve as the primary point of contact for assigned Boards of Directors
- Build trusted relationships with Board members and homeowners
- Prepare for and facilitate Board, annual, and special meetings
- Develop meeting agendas, Board packets, and community communications
- Execute Board decisions and ensure action items are completed
Operations & Property Oversight
- Conduct routine community inspections and site visits
- Manage architectural review requests and covenant enforcement
- Coordinate maintenance schedules, amenities, and community projects
- Resolve homeowner concerns and escalated issues
- Maintain management plans and community records
Vendor & Financial Management
- Coordinate vendors and RowCal's internal service divisions
- Oversee maintenance, repairs, and capital improvement projects
- Review contracts and monitor vendor performance
- Review monthly financial statements and approve invoices
- Assist with annual budgets, reserve planning, and collection oversight
Systems & Documentation
- Maintain accurate information within CINC Systems, SharePoint, and WebAxis
- Track work orders, projects, contracts, and governing documents
- Utilize Microsoft 365 to manage communication, reporting, and documentation
Required Qualifications
- Active Illinois Community Association Manager (CAM) License
- Experience managing community associations or HOA portfolios
- Experience working directly with Boards of Directors
- Experience using HOA management software such as CINC, Vantaca, Enumerate, or similar platforms
- Working knowledge of association governing documents and community operations
- Ability to read and interpret financial statements, budgets, and reserve plans
- Comfortable learning new technology, systems, and processes
- Excellent organizational, communication, and time management skills
- Valid driver's license with the ability to travel throughout the Chicagoland suburbs, primarily serving the south suburban market
Preferred Qualifications
- Three or more years of community association management experience
- CMCA designation
- Single-family HOA portfolio experience
- Associate's or Bachelor's degree
