Schedule: Monday–Friday, 7:30 AM–4:30 PM + rotating after-hours/weekend on-call
Pay: $60,000–$75,000 annually, based on experience

Position Summary

The Service Administrator provides customer service and administrative support to the Service Department, including backup support for dispatch and scheduling. This role coordinates customer communication, service appointments, documentation, billing, maintenance scheduling, and follow-up.

Key Responsibilities

  • Answer calls, assist customers, schedule appointments, and create service tickets.

  • Make outbound calls to schedule and confirm appointments and follow up with customers.

  • Provide backup support for service dispatching and technician scheduling.

  • Assist with dispatching, routing, schedule changes, and parts ordering.

  • Coordinate communication between customers, technicians, dispatch, and management.

  • Contact maintenance customers regarding scheduling, reminders, and renewals.

  • Process service invoices, technician timecards, warranty parts, and related documentation.

  • Maintain accurate customer records and service documentation.

  • Assist the Service Manager with additional administrative duties as needed.

Qualifications

  • High school diploma or GED.

  • 2–5 years of customer service, scheduling, dispatch, administrative, or related experience.

  • Strong communication, organization, multitasking, and attention-to-detail skills.

  • Professional phone etiquette and ability to work in a fast-paced environment.

  • Basic computer skills and ability to learn scheduling/dispatch software.

  • Experience with HVAC, plumbing, home services, or ServiceTitan is preferred.

Work Environment

Office-based Service Department with frequent interaction with customers, technicians, dispatch, and management. Must be dependable, organized, and comfortable managing changing priorities and high call volumes. Rotating after-hours/weekend on-call participation is required.
