Position Summary
We are seeking a highly organized and detail-oriented Project Manager Assistant to support two operations leaders in a fast-paced manufacturing environment. This role is central to keeping production schedules on track, coordinating information across departments (welding, shipping and receiving, purchasing/buying, and others), and maintaining accurate, well-organized data and reports. The ideal candidate is an advanced Excel user, comfortable reading blueprints and production documents, and able to communicate clearly with employees at every level of the organization.
Key Responsibilities
● Provide direct administrative and operational support to two managers, balancing and prioritizing competing requests and deadlines.
● Build, maintain, and update production and manufacturing schedules; track job status and flag delays or
bottlenecks.
● Create and maintain detailed Excel spreadsheets, trackers, and reports (formulas, pivot tables,
VLOOKUP/XLOOKUP, data validation, and formatting) for production, inventory, and departmental metrics.
● Read and interpret blueprints, drawings, and work orders to verify specifications, quantities, and job
requirements.
● Coordinate and communicate daily with welding, shipping and receiving, purchasing, and other production departments to ensure schedules and priorities are aligned.
● Assist with purchasing/buying activities, including tracking purchase orders, material availability, and vendor follow-up.
● Monitor shipping and receiving activity to confirm materials and finished goods move on schedule.
● Prepare clear, accurate written communications, meeting notes, and status updates for management and
department leads.
● Organize and maintain physical and digital files, including job travelers, blueprints, and production records.
● Identify discrepancies or errors in schedules, orders, or reports and proactively resolve or escalate them.
● Support special projects and process improvement initiatives as assigned by either manager.
Required Qualifications
● Minimum 5 years of hands-on Microsoft Excel experience (formulas, pivot tables, lookups, data organization, and reporting).
● Prior experience in a manufacturing or production environment, including exposure to production scheduling.
● Ability to read and interpret blueprints, technical drawings, or work orders.
● Working knowledge of how core manufacturing departments operate — welding, shipping and receiving, purchasing/buying, and production.
● Excellent written and verbal communication skills; comfortable communicating with two supervisors and
multiple departments.
● Strong attention to detail and a high level of accuracy in data entry and reporting.
● Strong organizational and time-management skills; able to juggle shifting priorities from two managers.
● High school diploma or equivalent required; associate degree or relevant technical training a plus.
Preferred Qualifications
● Experience with Quickbooks is a must.
● Prior experience supporting more than one manager or department simultaneously.
● Familiarity with basic manufacturing terminology and quality/safety documentation.
Work Environment
