Responsible for assisting the Director of Facilities in the oversight, daily operations and management of agency facilities functions including inpatient units, owned and leased sites/campuses. Support the role of Facilities Director through management of projects, compliance, contracts, plans or contracts for organizational building and grounds, maintenance, security/emergency preparedness, housekeeping and space management, collection and analysis of date and formulating recommendations for improvements.


WHAT YOU WILL DO:

  • Supports ensuring that all facility services are consistent with Medicare and other licensure regulations.
  • Assists with monitoring and evaluating the use of resources for the facility teams sites and agency space requirements.
  • Participates in QA and UR process pertinent to facility functions and services.
  • Participate in evaluating recruitment needs, interviewing, hiring, and orientation of new staff in consultation with Director of Facilities.
  • Ensures coordination of volunteers in supporting facility projects and tasks.
  • Assess and formulate recommendations for staff and agency educational needs.
  • Participates in all management meetings and program development.
  • Serves as coordinator of agency emergency response team. Participates in developing practices, policies and testing of emergency plans.
  • Represents hospice in the community and serves on committees as assigned.
  • Participates in ensuring compliance with OSHA regulations pertaining to facilities and staff.
  • Participates in the development and implement of policies and procedures for facility teams, emergency/safety management and agency staff as appropriate.
  • Participates in staff meetings, inter-agency meetings and committees as requested.
  • Maintains a good working relationship with other organizational staff.
  • Establishes programs to assure that a high quality of service and public image is maintained.
  • Participates in developing and maintaining automated facilities systems.
  • Assists with ensuring records and statistics for administrative and regulatory purposes are maintained to agency/team standards.
  • Ensures compliance with OSHA, JCAHO, and State and Federal regulations.
  • Assists in development and management of operating budget.
  • Assists in development and implementation of capital budget request list annually. Provide justification for requests.
  • Collaborates with director of facilities to assess, recommend and develop environmental plans that includes areas of contracts, space management, safety and operation; assists with planning and implementation of office moves, remodeling, furniture relocation, utility hook-ups, office equipment, service contracts and leases.
  • Participates, promotes and implements green initiatives to conserve and be environmentally conscious and sustainable.
  • Reviews plans and directs the construction and renovation projects of the hospice and its buildings up to major additions and new construction.
  • Ensure oversight, storage, archive and access to construction documents renovation and project contracts and files.
  • Support and manages the allocation of resources within the defined budget for facilities teams
  • Promotes customer service relations for internal and external customers according to the HWR standards.
  • Develop and maintains relationships with service/supply vendors. Assists with exploring and recommending alternative vendors or services in alignment with agency goals and resources
  • Assist with ensuring clinical engineering, maintenance and documentation of equipment related to patient care.
  • Performs other related duties as assigned.
  • This position directly supervises Facilities Management Team Leaders, Supervisors, and Maintenance Mechanics.

QUALIFICATIONS, EDUCATION, EXPERTISE AND KNOWLEDGE

  • Graduation from an accredited four-year college or university with major coursework in public administration, business administration, or a related field, and experience in an administrative staff position; or any equivalent combination of training and experience that provides the knowledge, skills, and abilities listed below:
  • Knowledge of the principles and practices of public or business management including budgeting, personnel administration, and/or program management
  • Minimum five (5) years of professional experience in facility management or related service.
  • Considerable knowledge of maintenance and repair of facilities and grounds management including electrical, plumbing and HVAC systems.
  • Considerable knowledge of the safe use, operation and maintenance of electrical and mechanical equipment.
  • Knowledge of the principles and practices of purchasing and inventory control, contract and lease management, and employee safety and emergency preparedness.
  • Ability to plan, organize and administer projects
  • Ability to exercise directions and good judgment in applying and interpreting agency policies and procedures.
  • Ability to establish and maintain effective working relationships with others
  • Ability to communicate effectively, orally and in writing
  • Ability to complete assigned tasks in a timely and effective manner
  • Proficiency in word processing, spreadsheet and database software
  • Ability to exercise directions and good judgment in applying and interpreting agency policies and procedures.
  • Ability to have and maintain a valid driver's license, good driving record and auto accident insurance at a level acceptable to HWR and/or HWR’s insurer.

CONDITIONS OF EMPLOYMENT:

  • Compliance to Annual Flu Shot Policy or ability to provide exemption documentation
  • Provide an active auto insurance policy as a licensed driver in the State of Ohio with the proper level of coverage as directed
  • Provide an active driver’s license
  • Ability to provide proof of eligibility to work in the United States.
  • High level of integrity, ethics and professionalism.

PHYSICAL REQUIREMENTS AND WORKING CONDITIONS

This position requires the duties be completed in both indoor and outdoor environments ranging from office-type settings to residential or patient care settings with computer/telephone use. This position has the potential to be exposed to environmental elements, internal and external, such as infectious disease, bloodborne pathogens, and chemicals and/or chemical fumes, (pet dander and/or exposure to allergens) and adverse effects of inclement weather that may occur as well as potentially difficult patient and family situations. The work requires sitting, standing, stooping, squatting, reaching, walking, lifting, finger, grasping, and feeling; vocal communication; hearing; visual acuity and color perception. The position may require the exertion of up to 75 lbs. of force occasionally.
