Job Description

Vivant Consultants is representing a leading furniture dealership in the search for an experienced and highly organised Project Associate to join their team.

You will work closely with the Project Manager (PM), taking responsibility for the successful coordination and delivery of smaller projects while supporting the PM and wider project team on larger-scale installations. This is a hands-on role suited to someone with strong project coordination, client communication, commercial awareness, and attention to detail.

Key Responsibilities

\n

  • Take the lead on managing smaller projects and provide day-to-day account and project management support.
  • \n

  • Assist with budget preparation, pricing, proposals, and project cost management.
  • \n

  • Partner with the Project Manager on larger projects to prepare budgets, specifications, project schedules, and related documentation.
  • \n

  • Manage furniture pricing and prepare accurate client proposals.
  • \n

  • Coordinate shop drawings, approvals, change orders, and project documentation.
  • \n

  • Support communication and relationship management with clients, vendors, manufacturers, and design firms.
  • \n

  • Prepare and distribute client updates, project communications, and internal status reports.
  • \n

  • Coordinate and participate in onsite furniture delivery and installation activities.
  • \n

  • Assist with billing, invoicing, and other project administration.
  • \n

  • Manage punch-list items through to resolution, including preparing status reports and coordinating with manufacturers to resolve outstanding issues.
  • \n

  • Stay informed on new furniture products, workplace trends, industry developments, processes, and technical solutions.
  • \n

  • Coordinate the procurement and organisation of digital copies of vendor contracts/KPRs and assist with training project coordinators on how to interpret and apply these documents to orders.
  • \n

  • Submit special requests to manufacturers and technical resource teams as required.
  • \n

  • Support the Project Manager and wider team in ensuring projects are delivered accurately, on time, and to client expectations.

Candidate Profile

\n

The successful candidate will ideally have:

\n

    \n
  • 3–5 years of relevant industry experience, preferably within commercial interiors, furniture, workplace design, or a furniture dealership environment.
  • \n

  • Previous dealer-specific experience is preferred but not essential.
  • \n

  • Experience using Team Design software is preferred.
  • \n

  • Experience using CAP 20/20 software is preferred.
  • \n

  • Excellent Microsoft Office skills, with strong Excel capabilities.
  • \n

  • A professional, proactive, and collaborative approach to work.
  • \n

  • The ability to thrive in a fast-paced environment where multitasking, organisation, and attention to detail are essential.
  • \n

  • Strong written and verbal communication skills.
  • \n

  • Excellent interpersonal and relationship-building skills, with the confidence to work with clients, vendors, manufacturers, designers, and internal teams.
  • \n

  • A strong analytical and solutions-focused approach to problem solving.
  • \n

  • A Bachelor's degree in a relevant field is preferred but not required.
  • \n
