We are looking for a Facilities Assistant to support day-to-day facility operations for a commercial real estate environment. This long-term contract opportunity is ideal for someone who can coordinate vendors, help maintain organized workplace services, and contribute to a smooth and detail-focused experience for occupants and visitors. The role requires strong operational awareness, attention to detail, and the ability to work across maintenance, property support, and facility coordination activities.
Responsibilities:
• Coordinate daily facilities support activities, including work orders, service requests, and follow-up with internal teams and external vendors.
• Assist with the scheduling and oversight of maintenance services to help keep building operations running efficiently and safely.
• Support conference room readiness by arranging spaces, addressing setup needs, and resolving facility-related issues in a timely manner.
• Maintain accurate records within computerized maintenance management systems and track completion of assigned facility tasks.
• Partner with property management and operations teams to help uphold service standards across the site or portfolio.
• Monitor vendor performance, communicate expectations clearly, and escalate service concerns when needed.
• Contribute to process improvements that strengthen consistency, responsiveness, and overall facility performance.
• Help support risk, sustainability, and general operational initiatives tied to facility management goals.
• At least 5 years of experience in facilities, property, or building operations support roles.
• Practical experience coordinating conference rooms, workplace services, or related onsite facility functions.
• Familiarity with computerized maintenance management systems and service tracking processes.
• Strong vendor relations skills with the ability to manage follow-up and service quality.
• Working knowledge of maintenance coordination, operations support, and property management practices.
• Ability to organize multiple priorities, respond to issues promptly, and communicate effectively with stakeholders.
• Proficiency with standard business software and administrative tools used in facilities environments.
