The Management Services Specialist assists MFP clients with applying for housing vouchers through local housing authorities and the Department of Community Affairs (DCA), providing in-person support to clients in nursing homes throughout the application process. Responsibilities include gathering required documentation, completing and submitting applications, and monitoring their progress through voucher issuance. Once vouchers are secured, the Specialist supports clients in searching for housing, applying for apartments, and securing appropriate placements. The position also involves maintaining accurate records and tracking systems, while collaborating with team members and external partners to ensure successful transitions into community housing. This role requires strong organizational, analytical, and administrative skills, along with experience in data tracking and the ability to effectively work with clients in both nursing home and community settings.

This role includes responsibilities related to the support of the Access to Services team. It provides maintenance and development of workflow and process tracking mechanisms to ensure standards of promptness are met per state policy and internal protocol; includes data entry in the DAS Data System (DDS); compilation and reconciliation of monthly expenses; mailings to remote team members as well as to individuals in the community; calls to nursing home staff and other professionals.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assist MFP clients with applying for housing vouchers through local housing authorities and the Department of Community Affairs (DCA)
  • Provide in-person support to clients in nursing homes throughout the application process
  • Gather required documentation for voucher applications
  • Complete and submit housing voucher applications on behalf of clients
  • Monitor application progress through voucher issuance
  • Support clients in searching for housing once vouchers are secured
  • Assist clients with apartment applications and securing appropriate housing placements
  • Maintain accurate records and data tracking systems
  • Collaborate with team members and external partners to support successful transitions to community housing
  • Ensure smooth coordination of services between clients, agencies, and housing providers
  • Utilize strong organizational, analytical, and administrative skills in daily tasks
  • Work effectively with clients in both nursing home and community settings

REQUIRED KNOWLEDGE, SKILLS, ABILITIES AND COMPETENCIES:

· Knowledge of the Aging Network, experience in the field of aging/disabilities

· Knowledge of software applications used to create charts, graphs, and other visual documents

· Skilled in processing and tracking transactions including housing information and/or program applications

· Ability to work in collaboration with other team members and unit supervisors

· Ability to work independently, establish priorities and organize work

· Ability to multi-task with attention to detail and strong time management skills

· Ability to organize tasks, meet deadlines, and manage and prioritize competing demands

· Possess excellent communication skills, including both written and verbal

· Possess excellent customer service skills

· Knowledge of database operations sufficient for entering and extracting data

· Possess strong analytical, technical, and organizational skills

· Proficient in Microsoft Office Suite (Outlook, Word, Excel, Teams and PowerPoint) and data management systems.

MINIMUM QUALIFICATIONS:

· High School Diploma or GED

· Four (4) years of related administrative support or customer service experience

An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation.

SPECIAL REQUIREMENT:

· Selected candidate will be subject to a criminal background check.
