About the Role We are seeking an experienced, hands-on Multifamily Property Managerto oversee approximately 75 residential multifamily units across several smaller apartment properties in San Diego, while also providing oversight and support to select onsite property management teams in Texas. This is an owner-managed portfolio, meaning the Property Manager will work directly with ownership and have significant responsibility for the day-to-day performance of the properties. The role combines leasing, resident relations, maintenance coordination, vendor management, budgeting, financial oversight, onsite team leadership, and process development. The ideal candidate is an experienced multifamily property management professional who can hit the ground running, work independently, make sound decisions, and take ownership of property performance. This person will initially spend time visiting the various San Diego properties, building relationships with onsite staff and vendors, and establishing consistent processes. As the onsite teams are built out, the role will become more focused on oversight, leadership, process management, and portfolio performance. The Portfolio Property Manager will report directly to the CEO. Key Responsibilities Property Operations & Portfolio ManagementOversee approximately 75 multifamily units across multiple smaller residential properties in San Diego.Take ownership of the day-to-day operations and overall performance of the assigned portfolio.Conduct regular property visits and spot checks to ensure properties are well maintained and operating according to company standards.Coordinate property needs, priorities, maintenance issues, vendors, and onsite personnel.Work directly with ownership to communicate property performance, issues, priorities, and recommendations.Help establish and continuously improve standard operating procedures and processes across the portfolio. Leasing & Resident RelationsCreate and manage rental advertisements and listings and monitor lead activity.Respond to prospective residents, conduct property showings, and manage the application, screening, leasing, renewal, and move-in process.Monitor market rents, occupancy, vacancies, and leasing activity and recommend adjustments as appropriate.Manage resident relationships and professionally resolve questions, concerns, and escalated issues.Oversee rent collections and delinquency follow-up.Maintain accurate resident and property records. Maintenance & Vendor CoordinationAssess repair requests, determine urgency, and identify the appropriate course of action.Coordinate maintenance technicians, vendors, and licensed contractors based on the scope of work.Obtain and evaluate vendor bids and monitor cost, quality, scheduling, and completion.Coordinate access to properties and ensure work is completed properly.Manage unit turns, inspections, work orders, and preventive maintenance.Develop and maintain a reliable vendor network.Follow up with vendors and onsite personnel to ensure work is completed and properly documented. Onsite Team LeadershipRecruit, hire, onboard, train, and manage onsite property staff, including live-in resident managers where applicable.Establish clear responsibilities, expectations, procedures, and performance standards for onsite teams.Provide ongoing coaching, direction, and accountability to onsite personnel.Coordinate with onsite managers to ensure properties remain leased, maintained, and resident-ready.Oversee and support select Texas onsite teams, including an established onsite manager and additional smaller-property operations.Build a cohesive and accountable property management team as the portfolio continues to grow. Financial ManagementMonitor property budgets and maintain strong cost awareness and financial discipline.Review invoices for accuracy, appropriate property allocation, supporting documentation, and proper chart-of-accounts coding.Coordinate invoice approvals and payment processing with accounting.Monitor operating expenses and identify opportunities to control costs and improve property performance.Review property financial information and understand how operational decisions affect overall portfolio performance.Provide regular financial and operational updates to ownership. Processes & PerformanceFollow existing company SOPs and processes while identifying opportunities to improve and streamline them.Develop and document new processes and SOPs as the portfolio grows.Establish consistent workflows for leasing, maintenance, inspections, vendor management, invoicing, and onsite team communication.Monitor key property performance indicators, including occupancy, delinquency, vacancies, leasing activity, work orders, expenses, and overall property condition.Use data and reporting to identify issues and take appropriate corrective action.Help build scalable systems that allow the portfolio to grow efficiently. Required Qualifications4–10 years of multifamily property management experience, with direct responsibility for residential apartment properties (75 doors).At least 2 years managing multiple properties and supervising onsite staff, including experience hiring, training, directing, and holding onsite personnel accountable.Demonstrated hands-on experience with leasing, maintenance coordination, vendor management, property budgets, and invoice coding.Experience with a property management software system, with AppFolio strongly preferred; Buildium, Yardi, or Rent Manager experience also considered.Proven experience independently managing multifamily residential properties - approximately 75 residential units across several smaller multifamily properties in San DiegoHands-on experience with leasing, rental marketing, showings, applications, screening, lease administration, renewals, and move-ins.Experience coordinating maintenance requests, vendors, contractors, unit turns, inspections, and work orders.Experience reviewing invoices and understanding property expense allocation and chart-of-accounts coding.Ability to understand property budgets, operating expenses, and overall property performance.Experience managing or supervising onsite property staff.Ability to work independently and make sound decisions with limited day-to-day supervision.Experience managing a portfolio of multiple smaller multifamily properties.Experience recruiting and managing live-in resident managers or onsite property managers.Strong written and verbal communication skills with residents, vendors, onsite employees, and ownership.Ability to regularly travel between assigned San Diego properties in North Park, Normal Heights, and City Heights for inspections, maintenance, spot checks, vendor coordination, and other property needs.(Mileage reimbursement provided for travel between assigned properties)Comfortable providing remote oversight and support to Texas-based onsite teams. Additional InformationThis is a contract-to-hire opportunity, with an expected initial contract period of approximately 3–6 months based on performance, with the intent to transition the successful candidate into a long-term permanent position.The portfolio currently includes approximately 75 residential units across several smaller multifamily properties in San Diego, primarily in City Heights, North Park, and Normal Heights.The role requires regular onsite presence at the assigned San Diego properties. Each property should receive a routine spot check at least twice per month, with additional visits based on maintenance needs, preventive maintenance inspections, property condition, leasing activity, vendor work, resident concerns, and other operational needs. *When properties have onsite live-in managers eventually, a lot of the little task can be delegatedProperty visit frequency may decrease as properties become stabilized and onsite/live-in managers are established. The Property Manager will provide ongoing oversight while delegating appropriate day-to-day responsibilities to onsite personnel and maintaining accountability for overall property performance.This is not a live-in position. The Property Manager will hire, train, and oversee onsite/live-in property personnel as the portfolio develops.The company currently uses Buildium and is migrating to AppFolio, making AppFolio experience particularly valuable.The position is based primarily out of the Kearny Mesa office, with a hybrid schedule of approximately three days onsite (Monday, Tuesday, and Thursday) and two days remote. Remote days may shift based on business needs.Mileage reimbursement is provided for travel between assigned properties according to company policy.The role reports directly to the CEO.The company is growing and expects the portfolio to continue expanding, creating an opportunity for the successful candidate to take on additional responsibility over time.A performance-based bonus structure targeting approximately 10% of base compensation is being developed; bonus timing and specific performance criteria are to be confirmed.The successful candidate should be prepared to hit the ground running with minimal training and bring proven, hands-on multifamily property management experience.
