Security Assistant (Contract)

WDS is seeking a highly organized, dependable, and detail-oriented Security Assistant to support the National Institutes of Health (NIH), Division of Police in Bethesda, Maryland.

This is a full-time contract position supporting a fast-paced federal law enforcement environment where accuracy, discretion, professionalism, and exceptional organizational skills are essential. The successful candidate will provide operational, administrative, and programmatic support for mission-critical functions, including procurement, property accountability, travel coordination, timekeeping, logistics, and budget support.

Position Summary

The Security Assistant serves as a key member of the administrative support team, providing comprehensive operational support to the NIH Division of Police. This position requires sound judgment, excellent organizational skills, attention to detail, and the ability to manage multiple priorities while handling sensitive information in accordance with NIH policies and federal regulations.

Key Responsibilities

Procurement & Acquisition Support

Initiate, process, and track purchase requests and purchase orders.

Maintain procurement logs and supporting documentation.

Coordinate with vendors and procurement personnel.

Ensure compliance with NIH procurement policies and procedures.

Property & Asset Management

Maintain accountability for government-owned property and equipment.

Track inventory and maintain accurate asset records.

Support inventory audits, tagging, reconciliation, and disposal activities.

Ensure compliance with federal property management requirements.

Timekeeping Administration

Serve as the official Division timekeeper.

Process employee time and attendance using the Integrated Time and Attendance System (ITAS).

Review records for accuracy and compliance with leave and reporting requirements.

Travel Coordination

Coordinate official travel authorizations and voucher processing using the Concur Travel System.

Manage travel reimbursements and post-travel reconciliations.

Serve as Travel Card Custodian.

Maintain travel records to ensure audit readiness.

Administrative & Logistics Support

Manage incoming and outgoing mail, packages, and equipment.

Receive, inspect, document, and distribute shipments.

Prepare correspondence, memoranda, reports, Standard Operating Procedures (SOPs), briefing materials, and other official documents.

Maintain secure electronic and paper filing systems.

Coordinate meeting logistics, conference rooms, audiovisual equipment, and event support.

Assist with administrative reporting and office operations.

Budget Support

Assist with expenditure tracking and budget monitoring.

Prepare administrative and financial reports.

Support documentation related to funding execution and financial activities.

Communications

Draft and distribute internal communications and newsletters.

Serve as a professional point of contact for internal and external stakeholders.

Maintain confidentiality while handling sensitive information.

Minimum Qualifications

Associate's or Bachelor's degree in Business Administration, Public Administration, Security Management, or a related field; or an equivalent combination of education and relevant experience.

Minimum of five (5) years of experience supporting security, law enforcement, government operations, or administrative mission-support functions.

Experience using Integrated Time and Attendance Systems (ITAS) or similar systems.

Experience with Concur Travel System, including travel authorizations and voucher processing.

Experience managing government property and inventory accountability.

Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat.

Strong written and verbal communication skills.

Excellent organizational and time management abilities.

Ability to successfully complete a Public Trust background investigation.

Preferred Qualifications

Previous experience supporting a federal agency, law enforcement organization, military organization, or public safety environment.

Knowledge of federal procurement procedures and financial management systems.

Experience supporting shipping, receiving, warehouse operations, or logistics.

Current or previous Public Trust clearance.

Previous federal security clearance is a plus.
