Role Description:
\n
LUSEO Engineering is seeking an entry level or co-op Project Specialist to support the successful setup, coordination, and administration of mechanical, electrical, plumbing, and fire protection engineering projects. This role will work closely with Project Managers, discipline leaders, clients, and internal teams to keep project information organized, deliverables on track, and administrative requirements completed throughout the project lifecycle.

The Project Specialist will work on tasks such as RFIs, submittal processing, shop drawing review, project creation, documentation management, project creation and close-outs.

Role Responsibilities:

Project Setup & Administration
\n

- Set up new projects in company systems, including project folders, contact lists, templates, schedules, budgets, billing information, and required administrative documentation.
- Assist with proposals, work authorizations, additional-service requests, change documentation, project schedules, and internal project planning.
- Support project invoicing by tracking progress, consultant documentation, additional services, and other information requested by the Project Manager or accounting team.
- Support project closeout, including record drawings, final documentation, open-item tracking, and archiving of complete project files.

Construction Administration Support

- Support the Project Manager in overseeing engineering projects that have moved into construction administration, helping ensure alignment with quality standards, budgets, and project timelines.
- Conduct site visits to assess project progress, support construction administration, and help resolve technical issues on-site.
- Prepare, distribute, and track requests for information (RFIs), submittals, shop drawings, field reports, and other construction-administration documents.
- Ensure client S/MEP requirements and expectations are accurately captured and fully reflected in the project deliverables.

PM & Client/Team Support
\n

- Serve as a supporting point of contact for clients, including A&E firms, contractors, and developers, helping ensure project requirements are met alongside the Project Manager.
- Coordinate project tasks with internal teams and external partners, including architects, contractors, and engineers, ensuring clear communication and seamless execution.
- Schedule project meetings, prepare agendas, document meeting minutes, and maintain action-item logs.

Skills & Qualifications
\n
- \n
- 0-3 years of experience in project coordination, project administration, architecture, engineering, construction, or a related professional-services environment preferred.
- Experience supporting MEP, architectural, or engineering projects is preferred.
- Strong organizational, time-management, communication, and follow-through skills.
- Ability to manage multiple projects, deadlines, and administrative tasks with accuracy.
- Proficiency with Microsoft Office; experience with project-management, accounting, or document-control platforms is a plus.
- Professional written and verbal communication skills in English.
