The Opportunity
AM Glass Inc is seeking an experienced and highly organized Project Coordinator to support its Project Management team and drive accountability and follow-through across multiple active commercial glazing and architectural metal projects.
This role serves as a critical coordination point between Project Managers and the departments supporting project execution. You'll participate in bi-weekly PM meetings, maintain job-specific action items, monitor deadlines and commitments, keep Monday.com project logs current, coordinate progress-reporting and billing handoffs, and help Project Managers prioritize responsibilities around critical project milestones.
Project Managers remain responsible for executing their assigned project work. Your responsibility is to ensure commitments are clearly documented, deadlines remain visible, completed work is confirmed, dependencies are identified, and overdue items or unresolved blockers are escalated appropriately.
This position is ideal for an experienced construction professional who understands how schedules, approvals, procurement, fabrication, delivery, billing, and field operations connect—and who excels at keeping multiple projects and people moving in the right direction.
How You Will Make an Impact
- Project Coordination & Accountability
- Attend bi-weekly Project Management meetings and maintain detailed, job-specific action lists
- Assign and track clear task owners, due dates, priorities, and completion status
- Follow up with Project Managers between meetings to confirm progress and completed commitments
- Identify missing information, outstanding responsibilities, and unresolved project issues
- Escalate overdue tasks and significant blockers to the Head of Project Management
- Help Project Managers prioritize responsibilities based on current schedules, deadlines, and upcoming project milestones
- Maintain consistent follow-through across multiple active projects and competing priorities
- Project Tracking & Documentation
- Maintain accurate and current project information within Monday.com
- Track critical project activities including:
- Submittals
- Shop drawings
- Procurement
- Material deliveries
- Change orders
- Project schedules
- Closeout requirements
- Monitor project documentation and identify information or approvals that could affect upcoming deadlines
- Ensure project logs accurately reflect current status and outstanding requirements
- Maintain organized records that provide Project Management with clear visibility into project progress
- Scheduling & Project Milestones
- Review project schedules and identify upcoming deadlines, milestones, and dependencies
- Help PMs prioritize work based on approval deadlines, material lead times, fabrication requirements, deliveries, and field mobilization
- Identify potential schedule risks and bring them to the appropriate team members' attention
- Coordinate follow-up across departments when dependencies could affect project commitments
- Help ensure required actions occur early enough to keep projects progressing according to schedule
- Progress Reporting
- Track required 25%, 50%, and 75% project reporting milestones
- Coordinate with Project Managers to obtain required information and updates
- Ensure progress reports are complete and submitted by applicable deadlines
- Follow up on missing information before reporting deadlines
- Maintain visibility into upcoming reporting requirements across active projects
- Billing & Financial Coordination
- Maintain a clear tracker for project billing deadlines
- Coordinate with Project Managers to ensure required billing information and supporting documentation are prepared on time
- Ensure complete billing information reaches the Finance team within required deadlines
- Follow up on missing or incomplete billing documentation
- Coordinate between Project Management and Finance when additional information or clarification is needed
- Maintain awareness of change orders and other project information affecting billing and financial workflows
- Cross-Functional Coordination
- Coordinate with Project Management, Drafting, Shop/Fabrication, Field Operations, and Finance
- Identify dependencies affecting Project Manager commitments and project milestones
- Follow up with appropriate departments to help resolve outstanding items
- Facilitate communication when project responsibilities cross multiple departments
- Help ensure information reaches the appropriate team members when decisions or action are required
- Management Reporting
- Prepare concise project-status updates for the Head of Project Management
- Organize information for upcoming PM meetings
- Clearly identify:
- Open action items
- Overdue commitments
- Upcoming project milestones
- Reporting deadlines
- Billing deadlines
- Outstanding dependencies
- Decisions or management involvement needed
- Provide clear visibility into areas requiring follow-up or escalation
Required Qualifications & Experience
- Strong background in construction project coordination, project administration, project management, or a closely related construction role
- Experience supporting and tracking responsibilities across multiple active construction projects
- Ability to understand construction schedules, architectural drawings, specifications, submittals, and shop drawings
- Ability to recognize dependencies between approvals, procurement, fabrication, deliveries, and field activities
- Strong working knowledge of Monday.com and Microsoft Excel
- Familiarity with construction billing and supporting documentation
- Familiarity with progress reporting, change-order tracking, procurement, and project closeout documentation
- Strong organizational skills and exceptional attention to detail
- Demonstrated ability to consistently follow responsibilities through to completion
- Ability to manage changing priorities and identify potential schedule risks
- Confidence communicating with colleagues regarding outstanding commitments and deadlines
- Ability to escalate overdue responsibilities and unresolved issues appropriately
- Strong written and verbal communication skills
- Ability to collaborate effectively across Project Management, Finance, Drafting, Shop/Fabrication, and Field Operations
Preferred Qualifications & Experience
- 5+ years of experience in construction project coordination, project administration, project management, or a related role
- Experience within commercial glazing, curtain wall, storefront, architectural metal, or panel systems
- Experience coordinating multiple active commercial construction projects simultaneously
- Experience with OneDrive, Bluebeam, and/or Procore
- Strong familiarity with construction procurement and material lead times
- Experience coordinating project billing deadlines and supporting documentation
- Associate degree or higher in Construction Management, Engineering, Architecture, or a related field
- Equivalent industry experience will also be considered

Schedule & Work Location
This is a full-time, Monday through Friday, on-site position in New York City. Occasional local travel to project sites, suppliers, or AM Glass facilities may be required.

- Success in this position means Project Managers and leadership have clear, current visibility into what needs to happen next across active projects.
- PM meeting commitments have defined owners and deadlines. Completion is confirmed rather than assumed. Overdue items and unresolved blockers are elevated promptly. Monday.com accurately reflects current project status, and required 25%, 50%, and 75% reports and billing handoffs occur on time.
- Most importantly, project priorities remain aligned with upcoming milestones, and dependencies are identified early enough for the appropriate teams to act before they affect the schedule.
