Job Description
The Project Coordinator plays a crucial role in bridging field operations, administrative support, and customer communications. This position works directly with operational leadership and management to plan, schedule, track, and support ongoing industrial plumbing, excavation, and piping projects from inception to final site cleanup.
Key Responsibilities: Project & Operations Scheduling
- Coordinate daily job schedules for field personnel, plumbers, equipment operators, jetter trucks, and sub-contractors.
- Assist field management with job dispatching, resource allocation, and timeline tracking for emergency and scheduled work.
- Maintain clear communication channels between field operations, leadership, and industrial clients.
Material, Equipment, & Logistics Coordination
- Source, order, and track delivery of specialized job materials, including process piping (copper, stainless steel, HDPE, gas lines) and heavy equipment rentals.
- Track site logistics for excavation projects, including concrete/asphalt disposal and material delivery.
- Maintain records of equipment maintenance, tool inventories, and fleet tracking.
Documentation & Cost Tracking
- Help track direct project costs, including field labor hours, materials, subcontractor invoices, and equipment rentals to support project profitability.
- Prepare and maintain comprehensive project files, work orders, change orders, camera inspection logs, and site reports.
- Organize permits, compliance documents, safety records, and utility locate requests (811) prior to excavation work.
Client & Administrative Support
- Serve as an administrative point of contact for client inquiries, status updates, and service requests.
- Support management in preparing project scope documents, customer estimates, and billing details.
- Assist with administrative tasks supporting back-office financial workflows and operations management.
