Job Summary:
The Associate Project Manager supports Fahe’s grant-funded and consulting projects by coordinating activities, ensuring compliance, and maintaining accurate program documentation. This position serves as a point of contact for Members, partners, and clients—supporting outreach, intake, and project administration that advances Fahe’s mission to strengthen communities across Appalachia.

The Projects Team works with a diverse range of clients including Fahe Members, local governments, nonprofits, and community organizations, and offers a range of services from comprehensive project management to discrete project activities such as Environmental Reviews and tailored technical assistance. Projects vary widely and the team prioritizes working with each client to meet their specific needs. Past project examples include administering CDBG-RHP funds for housing development and rehabilitation serving individuals in substance use disorder recovery, preparing and managing applications for state funding opportunities, and supporting local governments with strategic planning for infrastructure initiatives such as water and sewer expansion.

The Associate Project Manager will work in collaboration with Project Managers and the Director of Projects on a variety of projects, providing task, logistics, and compliance/documentation support to the team and to clients.

Key Responsibilities:

  • Support program and project implementation by coordinating activities, tracking deliverables, and monitoring progress against established goals.
  • Maintain strong relationships with Members, clients, contractors, and partners through regular communication, meetings, and engagement.
  • Assist with grant compliance, ensuring all program activities meet state, federal, and funder requirements.
  • Collaborate with Finance, Compliance, and Projects teams to assist with the management of budgets, invoices, and reporting.
  • Maintain accurate and confidential data in Salesforce and other record systems, ensuring timely updates and documentation.
  • Prepare and submit progress and expense reports to ensure transparency and accountability.
  • Provide general administrative and logistical support for meetings, events, and training sessions.
  • Participate in team meetings and contribute to process improvement and organizational initiatives.
  • As applicable, conduct outreach, intake, and eligibility review for clients and program participants; assist with document collection and verification.
  • Perform other duties as necessary or as assigned.

Qualifications & Requirements:

Education:

  • High School Diploma or equivalent required.
  • Associate’s or Bachelor’s degree in a related field preferred.

Experience:

  • 1–3 years of related experience in project coordination, grant administration, case management, or nonprofit program support preferred.
  • Experience with federally or state-funded programs (e.g., CDBG, FEMA, HUD) preferred.

Skills:

  • Strong organizational and task management abilities.
  • Excellent written and verbal communication skills.
  • Proficient in Salesforce or similar CRM systems.
  • Ability to build and maintain positive relationships with diverse stakeholders.
  • Detail-oriented with strong problem-solving and analytical skills.
  • Service-oriented, adaptable, and team-focused.

Work Environment & Physical Requirements:

  • Primarily a sedentary role, requiring extensive use of a computer.
  • Ability to lift up to 10 pounds occasionally.
  • Travel of up 20% of time.
