Purpose of the Role

RBM Partners is seeking a highly motivated and results-driven Portfolio Lease-Up Specialist to support occupancy growth and leasing performance across multiple communities within our portfolio. This individual will focus on lease-up communities, newly acquired properties, and communities requiring additional leasing support. The Portfolio Lease-Up Specialist will serve as a key resource for increasing occupancy, improving conversion rates, strengthening prospect follow-up, and enhancing the overall leasing experience. This position is designed to support multiple communities rather than being assigned to a single property. As RBM continues to grow, this role may evolve to include onboarding support, leasing process improvement, sales coaching, and training responsibilities across the portfolio.

Primary Responsibilities

  • Lease-Up Strategy & Occupancy Growth – Drive occupancy performance at assigned communities by executing lease-up strategies, generating traffic, maximizing lead conversion, and supporting the successful stabilization of new and acquired assets.
  • Portfolio Leasing Support – Provide leasing coverage and operational support across multiple communities, and support communities facing occupancy or traffic challenges.
  • Marketing & Outreach – Support lease-up campaigns, outreach initiatives, resident referral programs, employer partnerships, and local marketing efforts. Maintain listing accuracy, monitor market conditions, and provide competitive insights to leadership.
  • Resident Experience & Community Engagement – Deliver a professional and consistent customer experience from first contact through move-in while supporting resident events, referral initiatives, and community engagement activities.
  • Market Analysis & Revenue Support – Monitor leasing performance, traffic trends, competitor activity, and market conditions while providing recommendations regarding pricing, concessions, promotions, and leasing strategies.
  • Process Improvement & Best Practice Development – Identify opportunities to improve leasing processes, prospect engagement, conversion strategies, and operational consistency while sharing best practices and supporting training initiatives.
  • Lead Management & Conversion (As Needed) – Respond to inquiries, qualify prospects, conduct tours, present community value, overcome objections, and close leases to support occupancy and revenue goals.
  • Prospect Follow-Up & Pipeline Management (As Needed) – Maintain disciplined follow-up through phone, email, text, and CRM platforms to ensure consistent prospect engagement and maximize conversion opportunities.
  • Recordkeeping & Reporting – Maintain accurate prospect, leasing, and marketing records within AppFolio/CRM systems and provide timely reporting on leasing activity, conversion metrics, and occupancy performance.
  • Laws & Compliance – Ensure all leasing activities are conducted in compliance with Fair Housing requirements, company policies, and all applicable local, state, and federal regulations.

Requirements

  • Experience & Industry Knowledge: 2+ years of multifamily leasing experience with a demonstrated ability to drive occupancy growth, lease-up success, and strong leasing performance. Experience supporting newly acquired, transitioning, or lease-up communities preferred.
  • Technical & Compliance Knowledge: Working knowledge of Fair Housing laws and landlord-tenant regulations; proficiency in AppFolio or similar property management software, CRM systems, Microsoft Office applications, and leasing technology platforms.
  • Sales & Communication Skills: Strong customer service, communication, prospecting, closing, objection handling, and relationship-building skills with the ability to create exceptional experiences for prospects and residents.
  • Organization & Independence: Highly organized with strong attention to detail and the ability to manage multiple communities, projects, priorities, and deadlines while working independently.
  • Professional Requirements: Ability to travel regularly between assigned communities, work flexible hours as needed to support leasing initiatives, resident events, and business needs; valid driver's license and reliable transportation required.
  • Leadership & Industry Development: Experience mentoring leasing professionals, supporting team development, and contributing to marketing, outreach, and traffic generation initiatives preferred.
  • Physical Requirements: Ability to walk properties, including stairs and common areas, conduct tours, participate in outreach and marketing events, perform administrative tasks, and occasionally lift or move materials up to 20 pounds.
