Job Description: Property Manager- Springfield, IL or Tampa, FL

Summary/Objective

The Property Manager is responsible for the overall oversight and upkeep of BRANDT properties. This role manages property inspections, vendor and contractor relationships, contracts, warranties, maintenance records, repairs, and improvement projects to ensure properties are maintained, organized, and operating efficiently. The position serves as the primary point of contact for property-related matters and ensures issues are identified, addressed, and resolved in a timely manner.

The Property Manager will report to the Executive Administrative Director. This position would need to travel to each property.

Essential Functions

  • Conduct inspections of all BRANDT properties and document findings.
  • Monitor property conditions and identify maintenance, repair, safety, and improvement needs.
  • Develop and maintain relationships with vendors, contractors, and service providers to support ongoing property needs.
  • Obtain bids, negotiate pricing, and coordinate repairs, services, and property improvement projects.
  • Review contracts, proposals, service agreements, invoices, and vendor performance.
  • Track warranties, contracts, permits, manuals, maintenance schedules, and other property documentation.
  • Review invoices and confirm work completion before payment approval.
  • Identify gaps, risks, recurring issues, and opportunities for improved coordination, consistency, and standardization across all properties.
  • Ensure property-related issues are documented, tracked, and followed through to resolution.
  • Review and manage property tax assessments and valuations, ensuring properties are assessed accurately and all supporting documentation is maintained and reviewed.
  • Establishing security/access procedures for contractors, cleaning crews, and other outside vendors, including appropriate background-check requirements.
  • Periodically testing alarms, panic buttons, and other security equipment.
  • Ensuring security protocols are followed, work with IT department on locks, camera placement, etc.
  • Ensure building standards are followed by the operating procedure
  • Other property related duties as assigned.

Supervisory Responsibility

Position may have direct reports in the future. The position must manage outside contractors and others that involve property management.


Work Environment

Professional office environment. This position requires competency in using standard office equipment and software such as Microsoft Word and Excel.


Classification/Expected Hours of Employment

This position is a full-time position and is exempt from minimum wage and overtime pay requirements under federal and all applicable state or local laws. Days and hours of work are Monday through Friday, 8:00 to 5 p.m., with evening and weekend work required as job duties demand.


Travel

This position requires up to 75% travel. Regular travel between Brandt properties, including inspections and additional visits as needed.


Required Education and Experience

  • Experience in property management, facilities management, construction coordination, operations management, or a related field.
  • Experience managing vendors, contractors, and service providers.
  • Strong organizational, documentation, and recordkeeping skills.
  • Experience reviewing and negotiating contracts and service agreements.
  • Strong communication, problem-solving, and relationship-building abilities.
  • Ability to manage multiple projects and priorities simultaneously.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Valid driver's license and ability to travel regularly between properties.
