Project Coordinator / Administrator
LOCATION: Houston (zip 77046)
GENERAL KNOWLEDGE/SKILL REQUIREMENTS:
Ø A working knowledge of computer applications, including but not limited to MS Office 365 and Sharepoint.
Ø Experience supporting engineering and construction Oil and Gas projects is required
Ø Experience preparing executive-level reports and presentations is a required.
Ø Higher-level analytical skills and/or data management to assist with group initiatives.
Ø Great personality, work ethic, and ability to work with multiple personalities are a must.
Ø Onshore Pipeline experience is a plus.
PRIMARY ROLESANDRESPONSIBLITES:
Ø Support the planning and execution of project activities, including meetings, site visits, workshops, and team events.
Ø Coordinate logistics such as scheduling, meeting invitations, agendas, and follow-ups.
Ø Capture and distribute detailed meeting minutes, including tracking action items and decisions.
Ø Maintain project calendars, key milestones, and coordination across multiple stakeholders.
Ø Manage and maintain the project SharePoint site, ensuring documents are properly organized, version-controlled, and accessible.
Ø Upload, classify, and archive project documentation in accordance with established folder structures and document control practices.
Ø Maintain key project logs, including decision logs, action item trackers, and lessons learned.
Ø Gather and organize project data to create weekly and monthly reports, dashboards, and PowerPoint presentations that clearly communicate project status and key metrics.
Ø Develop and maintain standardized templates for recurring reports and presentations (e.g., leadership updates, steering committee materials).
Ø Coordinate with project stakeholders to develop and maintain key project reports like procurement reports, land reports, etc.
Ø Partner with project managers, engineers, procurement, and construction teams to support ongoing initiatives and deliverables.
Ø Act as a central point of coordination for information flow across the project team.
Ø Facilitate communication between internal stakeholders and external partners as needed.
Ø Perform additional administrative and coordination tasks as required to support project team success.
EDUCATION AND EXPERIENCE:
Ø Three (3) years of sharepoint experience.
Ø 3–7 years of experience in project coordination, administration, or similar role
Ø Proficiency with Microsoft 365 tools, particularly SharePoint, Teams, MS Office
Ø Strong organizational and document management skills with high attention to detail.
Ø Ability to manage multiple priorities and work effectively in a fast-paced environment.
Ø Excellent oral and written communication skills.
Ø Ability to manage multiple projects/tasks while maintaining high standards of work.
