Condominium Association Manager

PRIMARY FUNCTION:

Oversee daily operations of a 180-unit condominium association in the Uptown neighborhood of Pittsburgh. Ensure proper maintenance of common areas, conduct regular inspections, address repair requests and complaints, enforce association rules, and maintain accurate financial records. Submit regular reports to the Executive Board.

OBJECTIVE:

• Represent the Executive Board in managing daily affairs and supervising staff and property maintenance.

• Collect fees, manage expenses, prepare budgets and financial statements, negotiate with contractors, and resolve resident concerns.

• Communicate with residents to address issues, enforce compliance, and mediate disputes.

REPORTING:

Reports directly to the Executive Board

QUALIFICATIONS:

• Bachelor’s degree in business administration or related field preferred; Associate degree or equivalent with at least 3 years of managerial experience in property management or a related field required.

• Strong customer service, problem-solving, and communication skills.

• Ability to lead, delegate, and supervise staff.

• Knowledge of anti-discrimination laws (ADA, Fair Housing Act, local regulations) is beneficial.

MAJOR RESPONSIBILITIES (include, but are not limited to)

• Manage property operations, maintenance, administration, and improvements.

• Plan and coordinate maintenance, repairs, and construction projects.

• Oversee collection of assessments and payment of expenses.

• Inspect property for maintenance needs. �

• Serve as liaison between commercial and residential owners.

• Prepare budgets, financial reports, resale certificates, and questionnaires.

• Supervise staff and contractors.

• Maintain operational records.

• Meet with owners to discuss contracts, priorities, and property status.

• Solicit and review contractor bids.

• Administer service contracts.

• Investigate and resolve complaints and violations.

• Ensure compliance with insurance, safety, and regulatory requirements.

• Address legal and environmental issues with the Executive Board.

• Procure supplies and equipment.

• Initiate projects as directed.

ESSENTIAL SKILLS:

• Effective verbal and written communication.

• Strong reading comprehension.

• Logical problem-solving and decision-making.

• Ability to remain calm and effective under pressure.

PHYSICAL REQUIREMENTS:

Sitting, standing, lifting up to 25 lbs., reading, writing, and data entry

PREFERRED JOB SKILLS:

• Knowledge and ability to use Microsoft Office productivity products, including Excel, Outlook, Teams and Word.

• Ability to set-up, use and maintain Yardi Breeze HOA management software and Buildinglink community management software
