Job Description
Calc Engineering LLC | Doral, FL | Full-Time, On-Site (Mon–Fri, 8:00 AM – 5:00 PM)
About Us
At Calc Engineering, we specialize in delivering smart, sustainable, and cost-efficient engineering solutions that stand the test of time. Our mission is to shape the built environment through forward-thinking design and practical innovation. With a foundation built on technical excellence and a relentless drive for results, we help our clients create buildings that are resilient, efficient, and future-ready.
Our team provides comprehensive engineering services across mechanical, electrical, and plumbing (MEP) systems, Structural, and Inspection—ensuring safety, efficiency, and code compliance at every stage of development.
Position Summary
We are seeking a highly organized Engineering Project Coordinator to bring structure to how we track and deliver work. Your first priority will be organizing all project tracking across the firm: setting up a new project management tool to replace our current one, and streamlining the process so every project’s status, owner, and deadline is clear at a glance. From there, you will be the central point of coordination between clients, engineers, field staff, and management, managing project assignments, client communications, and timely delivery.
This is a client-facing role with real room to grow. The ideal candidate understands engineering workflows, communicates well with engineers and clients alike, and excels at managing multiple projects simultaneously.
Key Responsibilities
Project Tracking & Systems
-
Own project tracking across the firm: organize all active and incoming projects into a single, reliable source of truth
-
Set up our new project management tool: select, configure, and roll out a platform that fits how our engineers actually work
-
Replace our current tool: lead the transition, including migrating existing project data and getting the team fully adopted
-
Streamline the project tracking process by building standard workflows, templates, and status reporting
-
Maintain the system over time so project status, ownership, and deadlines are always visible to engineers and management
Client Communication
-
Serve as a client-facing primary point of contact for project status inquiries
-
Provide regular, proactive project updates to clients
-
Coordinate meetings, site visits, and project discussions
-
Manage incoming calls and emails from clients, contractors, and municipalities
-
Escalate technical questions to the appropriate engineering staff
Project Coordination & Scheduling
-
Assign incoming projects to appropriate engineers based on workload, expertise, and project requirements
-
Monitor project timelines, deadlines, schedules, and workload
-
Ensure projects move efficiently through each stage of completion
-
Identify scheduling conflicts and resource constraints early
Operations & Team Support
-
Track project progress from initiation through final delivery and generate status reports for management
-
Maintain project records and documentation
-
Coordinate permit applications, submittals, and deliverables as needed
-
Monitor outstanding tasks and follow up with team members
-
Coordinate internal project meetings and assist engineers with project administration
-
Support proposal preparation, project setup, and quality control procedures
Preferred Qualifications
-
Experience setting up, implementing, or migrating to a project management platform
-
Experience with project management software such as Monday.com, Asana, Smartsheet, Deltek, or similar
-
Experience working with engineering, construction, surveying, architecture, or permitting projects
-
Understanding of engineering plans, reports, and project lifecycles
-
Associate’s or Bachelor’s degree in Business, Construction Management, Engineering Technology, or a related field
Minimum Requirements
-
3+ years of experience in project coordination, operations management, construction administration, engineering consulting, or related fields
-
Strong organizational and multitasking skills, with a knack for building systems and processes
-
Excellent verbal and written communication skills, and comfort working directly with clients
-
Ability to manage multiple deadlines in a fast-paced environment
-
Proficiency with Microsoft Office Suite and project tracking software
-
Ability to work onsite 5 days per week
