COORDINATOR OF FACILITIES JOB PROFILE
Qualifications:
-
Bachelor's Degree in Facilities Administration and/or three years’ experience in related field

Strong understanding of plumbing, electrical systems, HVAC, and general building maintenance practices and ability to manage construction projects in-house and by contractors

Sensitivity to the needs of people with disabilities

An ability to relate to employees of widely varying backgrounds

Computer literate
-
Valid Driver’s License
Accountability
Accountable to the Executive Director and indirectly to the Chief Financial Officer
Specific Responsibilities – Maintenance
-
Oversee the installation, maintenance, and repair work at all Agency facilities, ensuring that all systems operate efficiently and safely.
-
Perform repair and maintenance work at all Agency facilities in order to minimize need for outside contractors whenever possible
-
Develop and implement maintenance schedules for regular inspections and repairs of equipment and facilities.
-
Respond promptly to emergency maintenance requests and coordinate necessary repairs.
-
Manage and lead a team of maintenance workers, providing training and support as needed, including required performance evaluations.

Work with external contractors and vendors for specialized maintenance tasks and ensure compliance with safety standards.

Order and maintain necessary supplies and equipment for maintenance operations.
-
Ensure that all maintenance work is done in accordance with safety regulations, including OSHA, OPWDD, NYSED and Agency requirements.

Maintain maintenance work order system for Agency and respond to open work orders in a timely manner.

Supervise fire and other emergency drills at main campus and schedule/oversee fire and other safety inspections at all Agency facilities.

Make recommendations for improved facility operations and safety and implement such as approved.
-
Maintain updated policies and procedures for Facilities department and ensure compliance with policies at all times.

Ensure all facilities remain compliant with NYSED or OPWDD regulations and are audit-ready at all times
-
Assist with development of Agency-wide and site specific Emergency Response Plans
-
Develop relationships with contractors and vendors and assist with development of new contract agreements.
Specific Responsibilities – IT Services
-
Review all IT help desk tickets as they are submitted to determine the need for collaboration between IT and Maintenance.
-
Schedule weekly strategy meetings with on-site IT technician to prioritize IT tickets, align workload between IT and Maintenance and reduce wait time for ticket resolution.

Meet at least monthly with Executive Director, on-site IT Technician and CFO to review completed, pending and upcoming IT projects and coordination with maintenance as needed.
General Responsibilities:

Assume other additional responsibilities as assigned by Executive Director

Participate in ongoing in-service training
-
Follow Hawthorne Foundation Inc. and all regulatory agency's policies and procedures
-
Ensures the safety and welfare of all staff and program participants at Hawthorne Foundation Inc.

On call 24/7 for emergencies, including coming to Agency sites as needed for emergencies
-
Serve on Agency committees, including Corporate Compliance and Quality Improvement
Physical Requirements

Sitting, standing, bending, lifting and moving intermittently during working hours

Must be able to cope with emotional and mental stress of the position

Must possess sight/hearing senses or use prosthetics that will enable these senses to function adequately so that the requirements of the position can be fully met.

Must function independently, have personal integrity, and have flexibility and the ability to work effectively with other personnel.

Must be in good general health and demonstrate emotional stability.
