Basic Function

The Director of Facilities and Transportation provide leadership and oversight for Paraquad's facilities, transportation operations, maintenance services, safety initiatives, vendor relationships, and facility-related projects. This position ensures that Paraquad's facilities, vehicles, grounds, and physical assets are safe, accessible, well-maintained, and supportive of the organization's mission.

The Director supervises facilities and transportation personnel, oversees contractors and vendors, manages facility and fleet-related budgets, and promotes an environment that is welcoming, inclusive, and accessible to individuals with disabilities, tenants, staff, and visitors. This position combines operational leadership with practical facilities knowledge and hands-on support for minor repairs and facility improvement projects as needed.

Essential Duties and Responsibilities:

Facilities Operations

  • Direct all facility operations, maintenance, repairs, custodial services, landscaping, snow removal, and building systems.
  • Develop and implement preventive maintenance programs for facilities, equipment, and vehicles.
  • Conduct regular inspections to ensure safety, accessibility, regulatory compliance, and operational efficiency.
  • Ensure all facilities remain accessible, functional, and welcoming for individuals with disabilities, tenants, staff, and visitors, consistent with Paraquad's mission and Independent Living philosophy.
  • Coordinate facility renovations, repairs, and improvement projects.
  • Provide technical guidance and support for minor repairs, preventive maintenance activities, and small facility improvement projects.
  • Oversee maintenance and replacement planning for facility equipment and building systems.
  • Maintain organized facility records, maintenance schedules, inspections, and documentation.

Transportation and Fleet Management

  • Direct Paraquad's transportation operations and fleet management activities.
  • Ensure vehicles are properly maintained, inspected, licensed, and compliant with applicable regulations.
  • Develop vehicle replacement and preventive maintenance schedules.
  • Monitor transportation performance and service quality.
  • Oversee fleet safety practices and driver-related operational requirements.

Safety, Security, and Emergency Preparedness

  • Oversee facility security systems, building access, and safety procedures.
  • Coordinate emergency preparedness planning, drills, and response activities.
  • Ensure compliance with applicable federal, state, and local safety regulations.
  • Maintain relationships with emergency management agencies and community partners as appropriate.
  • Ensure adequate first aid supplies and emergency equipment are maintained throughout facilities and vehicles.

Vendor and Contract Management

  • Manage vendor relationships and service contracts related to facilities and transportation operations.
  • Monitor contractor performance and ensure contractual compliance.
  • Participate in procurement activities, bid reviews, and vendor selection processes.
  • Ensure vendors maintain required insurance, licenses, certifications, and service standards.

Tenant Relations

  • Serve as the primary operational contact for tenants regarding facility-related matters.
  • Coordinate maintenance requests and facility concern in a timely and professional manner.
  • Foster positive tenant relationships and support tenant retention efforts.
  • Work collaboratively with organizational leadership to ensure tenant needs are addressed effectively.

Budget and Asset Management

  • Develop and manage facilities and transportation operating budgets.
  • Monitor expenditures and identify opportunities for operational efficiencies and cost savings.
  • Assist with capital replacement planning for facilities, equipment, and vehicles.
  • Prepare reports and recommendations regarding facility and transportation needs.

Leadership and Supervision

  • Supervise facilities and transportation personnel.
  • Establish performance expectations and provide coaching, training, and professional development.
  • Promote a culture of safety, accountability, customer service, and teamwork.
  • Participate in leadership meetings and organizational planning initiatives.

Additional Responsibilities

  • Support organizational compliance, accreditation, and risk management efforts.
  • Attend meetings and training as requested.
  • Provide written reports and documentation as needed.
  • Adhere to all Paraquad policies and procedures.
  • Demonstrate an understanding of and commitment to the Independent Living philosophy.
  • Perform other related duties as assigned.

Skills and Abilities Required

  • Strong leadership and team management skills.
  • Working knowledge of building systems, including HVAC, plumbing, electrical, security, and life-safety systems.
  • Ability to troubleshoot common facility maintenance issues and coordinate appropriate corrective actions.
  • Ability to perform or assist with minor facility repairs and small improvement projects when appropriate.
  • Knowledge of preventive maintenance principles and facility asset management.
  • Ability to read blueprints, equipment manuals, and technical specifications preferred.
  • Strong budgeting and financial management skills.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong organizational, analytical, and problem-solving abilities.
  • Ability to manage multiple priorities and projects simultaneously.
  • Ability to work independently and collaboratively across departments.
  • Proficiency in Microsoft Office applications.
  • Ability to interpret contracts, policies, regulations, and technical documents.
  • Commitment to accessibility, inclusion, and customer service.
  • Ability to maintain confidentiality and exercise sound judgment.

Education and Training

  • Bachelor's degree in Facilities Management, Business Administration, Construction Management, Public Administration, or a related field preferred.
  • Equivalent combination of education, technical training, and progressively responsible experience will be considered.
  • Minimum of five years of facilities, maintenance, transportation, or operations management experience.
  • Minimum of three years of supervisory experience.
  • Experience managing commercial facilities, transportation operations, or multi-tenant properties preferred.
  • Experience working in a nonprofit organization and/or serving individuals with disabilities preferred.

Physical Demands

  • Ability to move throughout facilities, grounds, and project sites.
  • Ability to lift and carry up to 25 pounds occasionally.
  • Ability to respond to facility emergencies outside normal business hours when necessary.
