We are looking for a Property Administrator to support daily office and resident services operations for a housing community in CA. This long-term contract position is ideal for someone who combines strong administrative ability with a customer-focused approach and an understanding of property management processes. The role involves coordinating documentation, resident communications, leasing-related support, and compliance records while helping maintain an organized and efficient office environment.
Property Administrator Responsibilities:
• Oversee routine administrative activities for the property office, ensuring records, correspondence, and daily workflows are handled efficiently.
• Monitor office inventory and arrange for the purchase and upkeep of supplies and equipment needed for smooth operations.
• Receive maintenance concerns, enter and manage service requests, and follow through with vendors or staff to help ensure repairs are completed promptly.
• Assist with resident transitions by supporting move-in and move-out activities, scheduling unit reviews, and preparing related documentation.
• Administer applicant lists and process housing applications in alignment with program rules and applicable compliance standards.
• Explain lease-related procedures, occupancy expectations, and community guidelines to applicants and residents in a clear and thorough manner.
• Accept rental payments, maintain accurate financial records, and support deposit preparation and related administrative tracking.
• Compile documentation for annual and interim recertifications and complete required forms to support affordable housing compliance.
• Maintain organized resident files, occupancy reports, and operational documentation while safeguarding confidential information.
• Build positive working relationships with residents, colleagues, vendors, and community partners while contributing to a welcoming office setting.

• At least 6 months of experience in administration, clerical support, property management, customer service, or a related field.
• Strong organizational skills with the ability to manage multiple priorities and maintain accuracy in detailed work.
• Ability to work independently and also collaborate effectively with onsite teams and external partners.
• Clear verbal and written communication skills for interacting with residents, applicants, and staff.
• Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
• Solid typing and data entry capabilities with a high level of accuracy.
• Previous experience in affordable housing, leasing, property management, or housing administration is preferred.
• Familiarity with Yardi or similar property management software, as well as LIHTC or other affordable housing compliance processes, is a plus.
