A privately held, established real estate investment and management company in San Mateo is seeking a motivated, organized and professional Assistant to the Property Portfolio Manager to join our real estate investment team.
This is an excellent opportunity for an early-career professional interested in developing experience in real estate, property management and project coordination. The position will work closely with the Property Portfolio Manager and will have exposure to a variety of property operations, improvement projects, contractors, vendors and insurance matters.
The ideal candidate is an excellent communicator who is highly organized, comfortable managing multiple priorities and eager to learn. Prior property management experience is helpful but not required.
Key Responsibilities
- Assist the Property Portfolio Manager with the day-to-day oversight of a portfolio of properties.
- Coordinate and track property maintenance, repairs and improvement projects.
- Assist with project management, including scheduling, vendor coordination, project tracking and follow-up.
- Obtain and organize contractor and vendor bids and assist with bid comparisons.
- Communicate with contractors, vendors, property managers and other business partners.
- Assist with property insurance matters, including maintaining policies and records, gathering information and coordinating insurance-related requests.
- Visit properties as needed to review conditions, meet vendors and contractors, monitor projects and follow up on outstanding items.
- Maintain organized property, vendor, insurance and project records.
- Track project deadlines, open items, proposals and follow-up activities.
- Assist with researching vendors, products, services and property-related issues.
- Prepare basic reports, spreadsheets, summaries and project updates for management.
- Support other property management and portfolio projects as assigned.
Qualifications:
- Bachelor’s degree is preferred, or equivalent combination of education and relevant professional experience.
- Prior real estate, property management, construction or project coordination experience is a plus but not required.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple projects and priorities simultaneously.
- Strong follow-through and willingness to take ownership of assignments.
- Comfortable communicating professionally with contractors, vendors and other outside parties.
- Proficiency with Microsoft Office, including Outlook, Word and Excel.
- Comfortable learning new software, systems and processes.
- Strong problem-solving skills and good judgment.
- Positive attitude and genuine willingness to learn and grow within the role.
- Ability to work independently as well as collaboratively with a small team.
- Valid driver's license, and satisfactory driving record required, as the position requires travel to company properties.
