Summary
The Property Manager is responsible for the day-to-day operations of the property, with a focus on resident experience, leasing performance, team leadership, property upkeep, and operational execution. Working closely with the General Manager, this role provides hands-on leadership to the onsite team and ensures company standards, policies, and procedures are consistently carried out.
The Property Manager serves as a key onsite leader and is expected to maintain a strong presence within the property, proactively address resident and operational needs, and support the General Manager in achieving the overall goals of the asset.
Key Responsibilities
Leadership & Team Development
- Provide daily leadership, direction, and support to onsite leasing, marketing, and maintenance team members
- Assist with recruiting, onboarding, training, and development of onsite staff
- Foster a high-performing, service-driven culture focused on accountability, teamwork, and resident satisfaction
- Conduct regular team meetings, check-ins, and coaching in partnership with the General Manager
- Manage onsite scheduling and ensure appropriate staffing and coverage
- Communicate team performance, staffing needs, and operational concerns to the General Manager
- Support company initiatives, policies, and expectations at the property level
Leasing & Marketing
- Oversee daily leasing activity and ensure consistent follow-up with prospects
- Monitor leasing performance, conversion ratios, traffic, and lead generation metrics
- Set and communicate daily and weekly leasing goals in coordination with the General Manager and Leasing and/or Marketing Manager
- Coach and support the leasing team to meet or exceed occupancy and leasing goals
- Ensure the property is tour-ready and that the leasing experience meets XFD standards
- Support onsite marketing efforts, outreach initiatives, resident events, and university/community partnerships
- Maintain knowledge of the competitive market, including rates, specials, availability, and leasing trends
Resident Experience & Property Operations
- Serve as a primary onsite point of contact for resident concerns, escalations, and service needs
- Oversee move-in, move-out, renewal, and resident communication processes
- Support rent collection, delinquency follow-up, and lease enforcement in accordance with company policies
- Ensure resident concerns and complaints are addressed promptly, professionally, and appropriately documented
- Oversee daily property operations, including cleanliness, curb appeal, common areas, amenities, and overall property presentation
- Conduct regular property walks and identify operational, maintenance, or resident experience concerns
- Coordinate with the maintenance team to ensure work orders and property needs are addressed in a timely manner
- Assist in planning and executing Turn and other major onsite operational periods
- Ensure compliance with company policies, Fair Housing regulations, and applicable local laws
Maintenance & Vendor Coordination
- Maintain regular communication with the maintenance team regarding work orders, preventative maintenance, unit readiness, and property needs
- Monitor work order completion and resident satisfaction with maintenance services
- Coordinate routine vendor services and onsite vendor access as needed
- Communicate larger repair needs, vendor concerns, or potential capital needs to the General Manager
- Support the General Manager with vendor and project coordination as assigned
- Ensure property standards for cleanliness, safety, and curb appeal are consistently maintained
Administrative & Financial Support
- Monitor daily property activity, including collections, delinquency, leasing, resident accounts, and operational needs
- Review property invoices and expenses for accuracy and communicate concerns to the General Manager
- Support the General Manager in maintaining property performance within established budget expectations
- Assist with required property reporting and ensure information is accurate and submitted on time
- Maintain organized records related to residents, staffing, leasing, maintenance, and property operations
- Assist with audits, inspections, and compliance requirements as needed
Reporting & Communication
- Maintain consistent communication with the General Manager regarding property performance, staffing, leasing activity, resident concerns, and operational needs
- Provide accurate and timely updates and reporting as requested
- Escalate significant resident, employee, financial, maintenance, or operational concerns to the General Manager
- Participate in property and company meetings as required
- Collaborate effectively with the Corporate Operations Team and other XFD departments
