Position Summary
The Project Coordinator will assist in creating detailed project plans, defining scope, goals, timelines, and resource requirements. The Project Coordinator will coordinate schedules, assign tasks to team members, and track progress to ensure projects stay on time and within budget, manage project plans for small to mid-sized projects for existing clients using our full suite of products/services to include refreshes, expansions, and renewals. Work on projects of limited complexity and ensure projects are completed on time, and within budget. Work is closely managed.
Essential Duties and Responsibilities
The essential functions include, but are not limited to, the following:
● Manage basic projects (refreshes, expansions, and renewals) for existing clients and closing the project ensuring all projects are delivered on time, within scope and budget.
● Report incidents to management and escalate as needed.
● Utilize established company tools, templates, and standard operating procedures to document and manage projects.
● Perform other related duties as assigned.
Initiating/Planning
● Identify and perform project analysis for Program Management.
● Develop the project/program schedule(s) within the standards of the department.
● Communicate timelines to the Program Management.
● Identify, manage, and document high-level risks, assumptions, and constraints.
Monitoring/Controlling
● Liaise between cross-functional teams to ensure deliverables, requirements, schedules, cost, and meeting plans are communicated.
● Create and maintain comprehensive project documentation for historical data. Maintain project documentation, including project plans, status reports, risk and issue logs, and change requests.
● Facilitate communication between project managers, technical teams, vendors, and clients.
● Document project meetings (kick-off, status, and closeout) with clients and other stakeholders.
● Review budgetary objectives and adjust project constraints based on financial analysis regularly.
● Proactively manage the timeline by which a project’s tasks, milestones, or deliverables are met.
● Update the status of the project (daily) in the project management software.
● Communicate the overall program department progress to Program Management on an ongoing basis.
● Design and control ongoing project kick-off process and ensure customer requirements are met.
Closing
● Obtain final acceptance from the client and measure client satisfaction with the project.
● Contribute feedback and lessons learned to improve processes and the overall project approach as needed.
Minimum Qualifications (Knowledge, Skills, and Abilities)
● Associate’s degree or equivalent work experience is preferred.
● 3+ years of proven work experience in managing/coordinating projects or a closely related field is required.
● Certified associate in project management (CAPM) certification is highly preferred or can obtain certification within 12 months.
● Excellent interpersonal skills with the ability to work well in a team with diverse personalities.
- Must have effective listening skills with a proactive client service focus.
● Ability to be assertive, take initiative, and be a proactive change agent.
● Ability to prioritize, and complete tasks in an organized, efficient, and effective manner. Must be able to perform under pressure and against tight deadlines.
● Ability to be responsible and responsive to deliver on the company’s commitments to the client.
● Proven ability to multi-task with multiple projects and be flexible to changing demands.
● Possess excellent attention to detail to ensure flawless project execution on time and within budget.
- Strong computer aptitude with proficiency with MS Office Suite and Google Workspace is required.
- Experience with project management software tools such as Monday.com and ERP software such as Netsuite is preferred.
Physical Demands and Work Environment
The physical demands described here must be met by an employee to perform the essential functions of this position successfully. Regular movement within the office is required to access file cabinets, office machinery, and other resources. This role involves the continuous operation of a computer and other office productivity machinery, and tools, including a printer, and computer. Regularly, the employee changes their body position to assist in moving objects or gaining access to items. The capacity to convey information and concepts effectively for mutual understanding must be possessed by the employee. They must also possess the capability to share precise details during such interactions. Specific vision capabilities, particularly the ability to observe details at close range (within a few feet of the observer), are essential for performing tasks accurately. This role involves the occasional transportation of boxes weighing between a minimum of 10 pounds and a maximum of 50 pounds throughout the office to fulfill diverse demands.
