We are seeking a highly organized and proactive Project Coordinator to support project managers and field operations teams throughout the lifecycle of commercial and industrial construction projects. This position is ideal for someone with experience in project coordination, project management support, office management, construction administration, or a related role within the mechanical, HVAC, plumbing, construction, engineering, or architectural industry.
Responsibilities
- Support Project Managers with the planning, coordination, and execution of mechanical construction projects.
- Maintain project documentation including contracts, purchase orders, change orders, RFIs, submittals, permits, and project correspondence.
- Coordinate project schedules and track milestones to ensure deadlines are met.
- Schedule and facilitate project meetings, document meeting notes, and follow up on action items.
- Serve as a point of contact between internal teams, subcontractors, vendors, and customers.
- Assist with procurement activities, material tracking, and delivery coordination.
- Monitor project budgets, invoices, and job cost information to support accurate financial reporting.
- Track project progress and provide regular updates to project stakeholders.
- Maintain organized project files and ensure documentation is accurate and current.
- Assist with project closeout activities, including collection of warranties, as-builts, and final documentation.
- Support office operations and administrative functions as needed to ensure smooth project execution.
Essential Skills
- 2+ years of experience in Project Coordination, Project Management Support, Construction Administration, or Office Management.
- Experience working for a mechanical contractor, HVAC contractor, plumbing contractor, general contractor, engineering firm, architectural firm, or related construction organization is preferred.
- Strong understanding of construction project processes and documentation.
- Proficiency with Microsoft Office Suite, particularly Excel, Outlook, and Word.
- Excellent organizational skills and attention to detail.
- Strong communication and relationship-building abilities.
- Ability to manage multiple priorities in a fast-paced environment.
- Self-motivated with a proactive approach to problem-solving.
Additional Skills & Qualifications
- Experience with construction management software, ERP systems, or project management platforms is a plus.
- Mechanical, HVAC, plumbing, or commercial construction industry experience.
- Exposure to subcontractor management, project accounting, permitting, RFIs, submittals, and change orders.
- Associate's or Bachelor's degree in Construction Management, Business Administration, Engineering, Architecture, or a related field is preferred.
Work Environment
This role is based in an office environment located in Nashville, TN, within the mechanical construction/contracting industry. The position requires a full-time commitment and involves interacting with various internal and external stakeholders to ensure project success.
Job Type & Location
This is a Contract to Hire position based out of Nashville, TN.
Pay and Benefits
The pay range for this position is $24.00 - $33.65/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
