OVERVIEW:

The Administrative Assistant will provide administrative support to the Planned Giving Directors and the Director of Marketing and Communications on an estimated basis of 30 hrs/week for Planned Giving and 10 hrs/week for Marketing. This position is a vital part of the Development team and requires efficient attention to detail.

This position is based in our Golden State Headquarters office in San Francisco.

DUTIES AND RESPONSIBILITIES:

  • Support the mission of The Salvation Army and understand the goals and objectives of the Development Department and the Golden State Division
  • Create print and digital marketing collateral utilizing platforms such as Canva and appropriate AI tools for planned giving and divisional marketing needs
  • Support seasonal fundraising campaigns across the division by ensuring timely data entry and reporting, communicating required action steps to corps officers, and assisting with divisional compliance efforts in partnership with the Divisional Kettle Coordinator.
  • Understand and be able to explain the functions of The Salvation Army structure and planned giving fundraising techniques
  • Conduct donor research as approved and directed
  • Manage Gift Planning marketing calendar and coordinate and execute marketing projects with the Planned Giving team on an ongoing monthly basis
  • Conduct follow-up stewardship calls with donors after marketing projects.
  • Make appointments with donors for Planned Giving directors as requested.
  • Reply to general email and phone correspondence as needed
  • Maintain appropriate donor files and database(s) as required by Planned Giving Directors
  • Ensure accuracy and up-to-date records are maintained on all donors
  • Ensure donations are promptly recorded, coded, and notify Donor Care for inclusion on the Divisional centralized donor database
  • Assist with general development department projects, such as the planning and execution of special events, data entry, and other projects and duties as assigned
  • Provide general administrative support to the Director of Marketing and Communications

EDUCATION AND EXPERIENCE:

  • 3-5 years work experience
  • High school diploma (required), Bachelors Degree (preferred)
  • CA Driver’s license (preferred)

SKILLS AND ABILITIES:

  • Able to demonstrate strong written and verbal communication and customer service skills
  • Has a marketing mindset and able to be creative in helping to create marketing collateral for planned giving and general marketing needs
  • Able to take initiative
  • Capable of handling and controlling multiple projects while being detail-oriented, acccurate and precise
  • Able to work independently with minimum supervision
  • Self-motivated and works effectively with team members who work remotely
  • Knowledge of Blackbaud and Crescendo software is a plus

EQUIPMENT USED:

  • Modern Office Equipment and Relevant Software

PHYSICAL REQUIREMENTS:

  • Ability to lift up to 25 lbs. (Usually file boxes)
