IT Coordinator scheduling, setting up users, communicating with users in facilities and other orgs.
Classroom & Building Systems Administration
Administrator and point of contact for STS/SaaS systems including:
Echo360 Classroom capture/scheduling
LibCal External calendaring/resource scheduler
Xibo Digital signage platform
EMS Room scheduling, event coordination, ESW calendar, room cards
Wayfinding kiosk admin
Financial and administrative expertise for departmental operations
- Reports on budgets; creates and submits completed monthly reconciliation reports to Simons Financial Operations team. Serves on committees concerned with administrative reports
- Advises leadership about University procurement guidelines, appropriateness of acquisition requests, and audit standards. Serves as the primary point of contact for departmental financial matters
- Assists in administrative and fiscal problem resolution and ensures compliance with Federal, State, and university regulations
- Serves as liaison to Executive Director of Finance (CFO)
- Monitors all financial activity to assure that the unit is financially sound and provides leadership with financial advice as to the status of funds prior to commitments being made
- Responsible for determining the appropriateness of expenditures based on knowledge of account restrictions and characteristics, including funding source
- Authorizes spending and manages signature authorization on financial and administrative documents
- Manage procurement and vendors. Review and approve invoices, requisitions, purchase orders, credit card and other financial transactions
- Oversees monthly services invoices, reviewing statements for accuracy and initiating corrective actions, as needed
- Trains users on self-reimbursement and travel & conference expense reports for STS staff, ensuring compliance with policies.
Duties & Management
Responsible for coordination of activities for STS. Manage event registration process, logistics and event budgets
Develops reports and other substantive, non-routine documents describing activities, facilities, and resources, including surveys, time/effort studies, and cost allocations
Oversees office management services for the STS Dept
Coordinates and facilitates the interview process for open staff positions
Manage staff on permanent or special assignments/projects
Maintains a presence and availability with urgent IT needs and/or who require an escalation path beyond the normal support avenues
Manage the weekly class support/launch schedule
Participate in the training of Faculty on the use of classroom technology
Facilities Management
Respond to general building request, urgencies, emergencies
o Liaison with Facilities
o Submit requests via FSR, ITSRs
Aggregate activity/issues from all departmental facilities representatives
Evaluate, order, and coordinate the installation of signage as needed
Coordinate furniture moves for faculty, staff, and events
Responsible for the asset management and capital equipment inventory for the department

Job Type & Location
This is a Contract position based out of Rochester, NY.
Pay and Benefits
The pay range for this position is $20.00 - $27.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
