This is a fast-paced, hands-on role working directly with ownership and executive leadership to coordinate maintenance, manage homeowner requests, track community violations, process architectural requests, and ensure operational tasks are completed efficiently and on time.

The ideal candidate is highly organized, communicates effectively, and can manage competing priorities across multiple communities without losing track of important details. This position requires strong follow-through, sound judgment, and the ability to work professionally with homeowners, vendors, and leadership in a deadline-driven environment.

Key Responsibilities

Property Operations & Work Order Coordination

  • Receive, document, and coordinate maintenance requests and work orders across multiple condominium and HOA communities.
  • Schedule vendors and contractors, monitor job progress, and follow up to ensure work is completed.
  • Track outstanding work orders, identify delays, and communicate updates to leadership and residents.
  • Coordinate follow-up on unresolved property issues and ensure action items are addressed promptly.

Homeowner & Resident Relations

  • Respond to homeowner and resident inquiries by phone, email, and online management portals.
  • Provide timely updates regarding maintenance requests, community issues, and administrative processes.
  • Handle resident concerns professionally while maintaining appropriate boundaries and enforcing community policies.
  • Assist homeowners who visit the office and direct requests to the appropriate parties when necessary.

HOA Compliance & Architectural Requests

  • Monitor and document community rule violations in accordance with established HOA and condominium policies.
  • Prepare, issue, and track violation notices and follow up on outstanding compliance matters.
  • Receive and process architectural review and property modification requests, track their status, and coordinate the review process.
  • Maintain accurate records of homeowner communications, violations, approvals, and related documentation.

Executive & Administrative Support

  • Track action items from meetings and follow up with responsible parties to ensure completion.
  • Prepare weekly operational updates and pre-meeting reports for ownership and executive leadership.
  • Provide updates on work order status, outstanding issues, violation activity, pending architectural requests, and overall task progress.
  • Maintain organized digital records, correspondence, and community documentation.
  • Support general office operations and assist with additional administrative and operational tasks as needed.

Qualifications

  • At least 2 years of experience in property management, condominium management, HOA/community association management, or a high-volume administrative or operations role.
  • Experience coordinating maintenance requests, vendors, resident communications, or multiple ongoing projects is highly desirable.
  • Strong organizational skills and the ability to prioritize competing deadlines across multiple communities.
  • Excellent written and verbal communication skills.
  • Ability to address homeowner concerns professionally and communicate community rules and policies clearly.
  • Strong follow-through, attention to detail, and accountability for completing assigned tasks.
  • Proficiency in Microsoft Office, including Outlook, Word, and Excel.
  • Experience with Buildium or similar property management software is preferred.

What Success Looks Like

  • Work orders and maintenance requests are documented, coordinated, and followed through to completion.
  • Homeowner inquiries receive timely, professional responses.
  • Violations and architectural requests are tracked accurately and consistently.
  • Leadership receives clear, reliable weekly updates on outstanding issues and operational progress.
  • Tasks are completed on time, records remain organized, and issues do not fall through the cracks.
