Position Summary
The Donor Data Coordinator supports the organization's fundraising and stewardship efforts through the accurate administration of donor data, gift processing, and constituent records. The position is responsible for the timely recording and acknowledgement of contributions, maintaining data integrity within the donor database, supporting donor services activities, and generating reports that inform fundraising operations. The Donor Data Coordinator serves as a key resource for gift administration, matching gift programs, financial reconciliation, and data management while helping ensure donor records are accurate, confidential, and aligned with organizational standards.
Key Responsibilities
Gift Processing & Donor Administration
• Process charitable contributions and related transactions in the donor database, including gifts, pledges, recurring donations, matching gifts, and other revenue sources, ensuring accuracy and timely acknowledgement of donor contributions.
• Coordinate gift acknowledgement processes and donor correspondence to support stewardship efforts and a positive donor experience.
• Serve as a primary point of contact for giving inquiries, donation processing questions, and matching gift requests.
Database Administration & Data Integrity
• Maintain accurate and complete constituent records by entering, updating, and verifying donor, volunteer, and related engagement information within the donor database.
• Perform ongoing data review and cleanup activities to promote data accuracy, consistency, and integrity.
• Develop and maintain organized electronic and physical records that support fundraising operations, reporting, and donor stewardship.
• Assist with database integrations, imports, and data management projects to support organizational initiatives.
Matching Gifts & Donor Services
• Administer the organization's matching gift program, including monitoring pending requests, coordinating fulfillment, and serving as the primary contact for matching gift software and related processes.
• Maintain pledge schedules and reminder processes to support donor commitments and revenue forecasting.
Financial & Revenue Support
• Prepare and reconcile gift and revenue information for internal reporting and financial review.
• Coordinate bank deposits and provide required documentation and supporting information to finance staff to facilitate accurate financial reporting.
• Maintain daily and weekly fundraising revenue reports and distribute information to appropriate stakeholders.
Team & Organizational Support
• Participate in meetings, special events, and organizational activities as assigned.
• Serve as an ambassador for the organization's mission and values in interactions with donors, volunteers, and community stakeholders.
Qualifications
Education & Experience
• Bachelor's degree required.
• Experience with fundraising and donor management software preferred; experience with Raiser's Edge strongly preferred.
• Experience supporting fundraising, donor services, financial processing, or advancement operations is a plus.

• Excellent verbal and written communication skills.
• Ability to manage multiple priorities, deadlines, and recurring processes with a high degree of accuracy.
• Ability to handle confidential donor and organizational information with discretion and professionalism.
• Ability to work independently while collaborating effectively with internal and external stakeholders.
• Proficiency with Microsoft Office applications, particularly Excel, and database reporting tools.
Working Conditions & Physical Requirements
• Ability to work at a computer workstation for extended periods.
• Ability to manage multiple deadlines and priorities in a fast-paced environment.
• Occasional evening and weekend work may be required to support organizational events and development activities.
