FV Recycling is seeking a hard-working, driven, detail-oriented Fleet Maintenance Coordinator to join our operations team in a full-time role.


As a Fleet Maintenance Coordinator, you will support the daily maintenance needs and regulatory compliance of our fleet and facilities. This role is responsible for coordinating preventive and routine maintenance for company vehicles and equipment across multiple locations to keep operations running safely and efficiently.


The ideal candidate is organized, resourceful, and performs well in a fast-paced environment. This position requires someone who can manage multiple priorities, think ahead, adapt quickly when plans change, and work independently to solve problems. Maintenance needs can arise outside of regular working hours, so flexibility and responsiveness are important. Working closely with drivers, driver managers, vendors, plant & baler personnel, and leadership, this individual will help minimize downtime, maintain compliance, improve maintenance processes, and support the maintenance needs of our fleet across multiple locations.


Key Duties and Responsibilities:


  • Issue PO numbers for all maintenance services rendered.
  • Maintain FMCSA compliance with DOT inspections, IFTA reporting, and vehicle registration.
  • Assist with titling and registering vehicles in the fleet.
  • Schedule Preventive Maintenance for FV vehicles and orders required parts (as needed) for maintenance services.
  • Escalate larger repair costs to management for approvals.
  • Maintain the responsible organization of the repair orders, weekly safety inspections, and monthly checklists.
  • Enter maintenance-related data into fleet program daily as needed. Verify the work order and invoice information entered by vendors.
  • Maintain positive relationships with vendors.
  • Assist in finding new vendors in territories as needed.
  • Stay in contact with drivers for maintenance concerns.
  • Schedule and dispatch emergency road service as needed.
  • Obtain rental equipment as needed.
  • Assist in determining asset needs for the company and ensure that equipment is procured and disposed of at the appropriate time.
  • Work with plant locations to triage facility repair needs.
  • Assist with collecting data for KPI reporting as needed.
  • Communicate with Leadership about recommended policy changes or additions.
  • Collaborate with Safety, Operations, and Leadership to continuously improve our operations for efficiency while enhancing a safe work environment for all employees.
  • Follow all safety policies and procedures.
  • Perform other job-related duties as assigned.


Qualifications

  • Strong attention to detail and accuracy.
  • Ability to work independently with minimal supervision.
  • Highly adaptable and willing to assist with a variety of projects and responsibilities.
  • Excellent organizational and problem-solving skills.
  • Strong communication skills, both verbal and written.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Ability to learn new software systems and technology quickly.
  • Experience with fleet maintenance and/or transportation compliance is preferred.
  • Knowledge of FMCSA regulations, DOT compliance, vehicle registrations and fleet management practices is a plus.
  • Proficient in Microsoft Office applications, particularly Excel.
