Hamburg, NY | Full-Time, Onsite | $23.00–$25.00 per hour

We’re seeking an experienced Assistant Property Manager to help oversee the daily operations of a multifamily residential community in the Hamburg, NY area.

This is a hands-on position for someone who understands what keeps a residential community running: responsive resident service, accurate account management, consistent leasing follow-up, organized records, and close coordination with maintenance and onsite staff.

Working closely with the Property Manager, you’ll serve as an important point of contact for residents, prospective residents, vendors, maintenance personnel, and other members of the onsite team. When the Property Manager is unavailable, you’ll help provide operational coverage and keep property priorities moving.

What You’ll Do

Your responsibilities will include:

  • Support the Property Manager with daily property operations and administrative responsibilities
  • Help oversee property operations and assume additional responsibilities when the Property Manager is unavailable
  • Maintain accurate resident accounts, records, reports, and property documentation
  • Receive and accurately record rent, deposits, application fees, and other payments
  • Prepare deposits and complete related documentation in accordance with company procedures
  • Follow up on delinquent accounts and prepare appropriate notices
  • Process move-ins, move-outs, lease renewals, and security deposit documentation
  • Respond to prospective residents, conduct property tours, and assist with applications and leasing
  • Answer and route calls from residents, prospects, vendors, and other contacts
  • Communicate regularly and professionally with current and prospective residents
  • Address resident questions and concerns with patience, good judgment, and appropriate follow-through
  • Receive resident service requests and coordinate with maintenance for prompt attention
  • Follow up with residents after maintenance work is completed
  • Assist with move-in, move-out, and vacant apartment inspections
  • Walk and monitor the property while onsite, noting litter, maintenance needs, curb appeal issues, and other operational concerns
  • Complete required daily, weekly, and monthly property reports
  • Keep leases, resident files, reports, and other property records organized and current
  • Support resident retention, outreach, and property marketing activities
  • Stay informed about local rental conditions, market trends, and competing communities
  • Conduct all business in accordance with company policies, Fair Housing requirements, the Americans with Disabilities Act, the Fair Credit Reporting Act, and other applicable federal, state, and local laws
  • Perform other reasonable duties related to property operations as assigned

What You’ll Bring

We’re seeking someone with an established foundation in multifamily or residential property management. You should be comfortable handling both the administrative and resident-facing sides of the job.

Preferred qualifications include:

  • At least two years of experience as an Assistant Property Manager or in multifamily leasing, residential property management, or a closely related role
  • Experience with resident accounts, rent collection, deposits, and delinquency follow-up
  • Working knowledge of leasing, renewals, applications, move-ins, and move-outs
  • Strong resident relations and customer service skills
  • The ability to communicate calmly and professionally during difficult resident or collection conversations
  • Strong administrative, organizational, and follow-through skills
  • Comfort using email, property management software, online resident systems, and standard office technology
  • The ability to maintain accurate records and handle confidential information appropriately
  • Strong written and verbal communication skills
  • The ability to define problems, collect relevant information, evaluate options, and take appropriate action
  • The ability to manage changing priorities in a busy onsite environment
  • Working knowledge of Fair Housing practices and applicable residential property regulations
  • A dependable, professional, and team-oriented approach

Schedule

This is a full-time, onsite position scheduled for approximately 40 hours per week.

Candidates should have flexibility to work a schedule based on the community’s operating needs. Occasional weekend or holiday availability may be required.

Compensation

$23.00–$25.00 per hour, based on experience and qualifications.

Candidates with direct Assistant Property Manager experience—particularly in collections, leasing, resident relations, reporting, and property operations—may be considered toward the higher end of the range.

Physical and Work Requirements

This position combines office-based administrative work with regular activity throughout the property. Reasonable accommodations may be made to enable qualified individuals with disabilities to perform the essential functions of the position.

The role may require:

  • Alternating between sitting, standing, and walking throughout the workday
  • Regularly walking the property, including outdoor areas and stairs
  • Bending, stooping, squatting, reaching, pushing, pulling, and opening doors or cabinets during inspections and routine property activities
  • Frequently using a computer, telephone, and other standard office equipment
  • Reading reports, completing forms, reviewing correspondence, and viewing computer screens
  • Communicating frequently by telephone and in person with residents, prospects, vendors, maintenance personnel, and company staff
  • Frequently lifting or carrying files, paperwork, office supplies, deliveries, and similar items weighing less than 20 pounds
  • Occasionally lifting or carrying items weighing up to 25 pounds
  • Rarely lifting items weighing more than 25 pounds
  • Working primarily indoors, with regular outdoor activity in varying weather conditions
  • Occasional exposure to cleaning products, solvents, fumes, pesticides, and other materials commonly encountered in residential property operations

Driving and Travel Requirements

Local travel may be required for banking, property inspections, neighborhood or market surveys, visits to the corporate office, and other operational needs.

Candidates must have:

  • A valid driver’s license
  • Reliable personal transportation
  • Current automobile insurance

Employment may be contingent upon successful completion of applicable pre-employment screening requirements.

Who Will Succeed in This Role

A strong Assistant Property Manager does more than complete a checklist. You may move from reviewing a resident account to helping a prospective renter, processing a renewal, coordinating with maintenance, checking a report, and resolving a resident concern—all in the same afternoon.

You don’t need to know everything on your first day. You do need a solid property management foundation, good judgment, reliable follow-through, and the willingness to take ownership of your work.
