With over 300,000 square feet under management, we are seeking a solution-oriented Commercial Property Manager with an entrepreneurial spirit, industry insight, and a collaborative approach to thrive in our dynamic environment.
ROLE RESPONSIBILITIES
Operations & Leadership
- Maintain highly responsive communication, impeccable follow-up, and strict deadline adherence.
- Create, refine, and maintain internal processes, workflows, and operational SOPs.
- Lead property teams to meet departmental performance expectations and targets.
- Focus on accuracy, efficiency, automations, and software/AI integrations.
- Assist in acquiring and onboarding new property management accounts.
- Mobilize marketing strategies and tenant relations events.
Financials & Portfolio Performance
- Help prepare and oversee annual property operating budgets.
- Understand CAM charges, expense projections, and year-end reconciliations.
- Track income, expenses, rent collection, and AP/AR across properties.
- Submit, review, and authorize invoices and payables.
- Review and approve management invoices to property owners.
- Review monthly owners' reports, property financials, and tenancy status.
- Manage security deposit activity, receivables, and approve payables.
- Ensure accurate and timely portfolio report delivery.
Property Management & Maintenance
- Conduct regular site visits, master property dynamics, and initiate property tasks.
- Prioritize and coordinate seasonal tasks and annual inspections (fire, boiler, elevator).
- Perform move-in/out activities, welcome new tenants, and conduct property introductions.
- Trigger tenant default notices and eviction processes (3-Day Notice + 7-Day Cure to Quit).
- Coordinate legal and court filings with general counsel (may require court attendance).
- Oversee and manage field staff work orders, repairs, response times, and close rates.
- Oversee tenant improvement projects and capital expenditures.
Tenant & Client Support
- Respond to tenant requests and inquiries according to internal response-time metrics.
- Resolve maintenance requests meeting internal service resolution metrics.
- Defuse and resolve challenging tenant interactions and grievances smoothly.
- Build professional relationships and establish rapport with current and prospective tenants.
- Oversee tenant communications including notices, newsletters, emails, and presentations.
Prospects, Leasing & Marketing
- Collaborate with the leasing team on lease expirations, renewals, vacancies, and marketing.
- Oversee lease expiration and renewal programs.
- Perform property and unit tours for prospective tenants.
- Prepare leases and guide prospective tenants through the leasing process.
- Establish value-add relationships with local businesses to deliver unique community experiences.
QUALIFICATIONS
Minimum Qualifications:
- Education: High school diploma, GED, or industry-related certification (Bachelor’s degree preferred).
- Experience: 2+ years of experience in Class A & B commercial or multifamily property management.
- Software: Property management software experience with Yardi or Rent Manager (AppFolio preferred).
- Office Skills: Excellent MS Office proficiency (Word, PowerPoint, Excel formulas, PDF conversions, Outlook, OneDrive).
- Tech Literacy: Basic fluency in Google Drive, Dropbox, Adobe, video conferencing (Teams, Zoom, Skype).
- Communication: Excellent written, verbal, and interpersonal customer service skills.
- Financial Skills: Applied basic mathematical and property accounting principles.
- Licensure: Valid driver’s license and current auto insurance.
Preferred Qualifications:
- Education: Bachelor’s degree in Marketing, Business Administration, Finance, Construction Management, or related field.
- Experience: 3+ years in property management with experience in process development and workflow refinement.
- Financial Acumen: High-level accounting principles, AR/AP bookkeeping fluency, and financing/banking fundamentals.
- Project Management: Experience with project software (ClickUp, Trello, Jira, Monday, etc.).
PHYSICAL DEMANDS & WORKING CONDITIONS
- Required to stand, walk, sit, bend, and reach.
- Work-related exposure to seasonal outdoor weather conditions during site visits.
- Occasional need to lift and/or move items over 20 pounds.
