Role Description This is a full-time, on-site Transaction Coordinator/Admin Assistant role based in Fort Worth, TX. The role involves managing real estate transactions from contract to close, including preparing and tracking documents, maintaining transaction files, and coordinating with agents, clients, lenders, title companies, and escrow officers. Daily tasks include updating transaction timelines, monitoring deadlines, scheduling inspections and closings, and ensuring all required signatures and forms are completed. The Transaction Coordinator/Admin Assistant also provides administrative support such as handling phone and email communication, organizing records, data entry into transaction management systems, and assisting with general office duties to keep operations running smoothly. The position requires consistent attention to detail, proactive follow-up, and a service-oriented approach to supporting the real estate team and clients.

Qualifications

- Strong transaction coordination and transaction management skills, with experience tracking deadlines and ensuring compliance with processes.
- Understanding of escrow procedures and basic real estate transaction workflows, including coordination with title and lending partners.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with clients, agents, and vendors.
- Proven customer service skills, demonstrating patience, responsiveness, and a problem-solving mindset in a client-facing environment.
- High level of organization, accuracy, and attention to detail in managing multiple files and administrative tasks simultaneously.
- Proficiency with office software (e.g., email, word processing, spreadsheets) and willingness to learn real estate transaction platforms.
- Ability to work on-site in Fort Worth, TX, collaborate with a team, and manage time effectively in a fast-paced setting.
- Prior experience in real estate, title, escrow, or administrative support is preferred; a high school diploma or equivalent required, additional education or certifications in real estate or office administration are a plus.
- Will consider part-time starting work schedule.
