POSITION OVERVIEW:

The Project Coordinator is a highly organized and detail-oriented professional responsible for supporting patient recruitment efforts for our clients' market research projects. This role ensures that participant recruitment for both qualitative and quantitative studies is completed on time, within budget, and in accordance with established quality standards. The ideal candidate has supervisory experience, strong communication and interpersonal skills, and the ability to effectively manage multiple projects, timelines, and priorities in a fast-paced environment.

MAJOR TASKS AND RESPONSIBILITIES OF POSITION:

Recruiter Oversight & Coordination
\n

- Serve as the main point of contact internally and for the sponsoring research firms for 10-20 projects.
- Oversee 1-2 staff screeners/recruiters. Ensure they are aligned with project goals, respondent data, and changing client expectations throughout the project while meeting daily call and reporting requirements.
- Monitor recruitment progress, flag risks early, and proactively address challenges to meet deadlines.

Project Management Support

- Partner with Project Managers to ensure recruitment objectives, timelines, budgets, and client expectations are met across multiple active studies.
- Assist with planning, status updates, and execution of recruitment for market research studies.
- Develop and maintain project schedules, trackers, status reports, and other project management documentation.
- Manage multiple projects simultaneously while maintaining attention to detail.

Client & Internal Communication

- Ability to provide consistent and timely updates both internally and to clients to ensure alignment throughout the project lifecycle.
- Prepare recruitment progress reports and documentation for internal and client use.
- Identify opportunities to improve processes, efficiencies, and recruitment experiences.

Quality Control & Compliance
\n

- Review and evaluate participant screener responses, qualifications, and project specifications to ensure accuracy, participant fit, compliance with company processes, and fulfillment of client requirements.
- Ensure the secure collection, storage, and handling of participant data is in accordance with company policies and applicable data protection guidelines (e.g., GDPR, HIPAA).

WHAT SETS YOU APART:

- You have 1–3 years of experience in market research, project coordination, or recruitment management.
- You have excellent organizational, collaboration, time management, and multi-tasking skills; the ability to manage multiple short-term projects simultaneously.
- You are proactive and have experience supervising or overseeing the work of others in a project-based environment.
- You are detail and process-oriented with strong written and oral communication skills.
- You are an intuitive and strategic thinker, with the ability to project forecast, troubleshoot problems, and provide effective solutions.
- You value working with a team that is passionate and purpose driven.
- You are proficient in Excel and other Microsoft Office apps, Google Suite, and other project management tools.

NICE TO HAVES:

- Familiarity with qualitative and/or quantitative research methodologies.
- Experience working with respondent recruitment platforms or vendors.
- Strong focus on market research project coordination; this is not an information technology or software development project management role.

Pay: $52,000.00 - 62,000.00 per year
