Job Description

Job Title: Facilities Coordinator

Location: Chicago, IL 60607 (Onsite)

Duration: 6+ Month Contract (Opportunity to extend/potentially convert if it is the right fit. )

Pay Rate: $24.00-$25.00/hr W2

Position Overview

We are seeking a Facilities Coordinator to support daily workplace operations and deliver an exceptional employee experience within a corporate office environment. This individual will be responsible for facilities coordination, vendor management, office services, conference room support, mail operations, and general workplace maintenance.

The ideal candidate is customer-service oriented, proactive, organized, and comfortable performing both administrative and hands-on facilities responsibilities.

Key Responsibilities

  • Manage and respond to facilities requests through ServiceNow.
  • Coordinate with building management regarding HVAC, lighting, security, fire, and safety-related matters.
  • Maintain vendor relationships and coordinate service requests as needed.
  • Order, stock, and distribute office and café supplies.
  • Coordinate incoming and outgoing mail, package distribution, storage, and shipping logistics.
  • Set up and break down conference rooms and meeting spaces according to business requirements.
  • Maintain public areas including conference rooms, printing stations, and common spaces.
  • Troubleshoot office equipment, café equipment, appliances, printers, and copiers.
  • Assist with office moves, furniture setup, and workplace support activities.
  • Prepare and maintain facilities documentation, reports, and knowledge base materials.
  • Partner with internal teams to ensure a positive workplace experience for all employees.

Required Qualifications

  • Strong customer service and communication skills.
  • Experience supporting office operations, facilities, workplace services, or administrative functions.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Comfortable performing hands-on tasks, including moving furniture and lifting up to 50 lbs.
  • Proficiency with Microsoft Outlook, Excel, Word, and PowerPoint.
  • Strong organizational and problem-solving skills.
  • Flexible, proactive, and detail-oriented approach to work.

Preferred Qualifications

  • Experience using ServiceNow or a similar ticketing platform.
  • Experience coordinating vendors, facilities requests, or workplace services.
  • Experience supporting a corporate office environment.
  • College degree preferred.
