You’ll be the central point of contact between customers and the company’s internal teams, making sure equipment deliveries and installations happen on time and customers are fully prepared. You’ll also manage parts orders and inventory for the office and keep daily operations running smoothly.

What You’ll Do

Project and Installation Coordination

  • Partner with managers to schedule installation personnel around equipment arrival and customer readiness
  • Communicate site preparation requirements to customers, such as forklifts for unloading, a dedicated internet connection, and other technical needs
  • Maintain a pre-installation checklist and follow up to confirm customers are ready before delivery
  • Keep customers and internal teams informed of schedules, responsibilities, changes, and next steps
  • Track open items, spot scheduling conflicts or potential delays early, and work with the right people to resolve them
  • Keep accurate records of project communications, schedules, and readiness confirmations

Parts and Inventory

  • Process customer parts requests and orders
  • Verify correct parts using records and support from technical staff
  • Arrange shipping or delivery and keep customers updated on order status
  • Replenish stock, record receipts and sales, perform inventory checks, and resolve discrepancies

Office and Reception

  • Answer and direct calls, greet visitors, and respond to general inquiries
  • Handle correspondence, filing, data entry, and office records
  • Manage incoming and outgoing mail and packages
  • Maintain office supplies and provide general administrative support

What You Bring

  • Strong organization, attention to detail, and consistent follow-through
  • Clear, professional communication with customers, coworkers, and suppliers
  • Ability to juggle multiple schedules, adapt to change, and prioritize competing requests
  • A customer-service mindset and comfort wearing many hats
  • Proficiency with email, spreadsheets, and common office software
  • Eagerness to learn technical equipment, parts, and internal processes

Nice to Have

  • Experience in project support, installation or service scheduling, logistics, office administration, or inventory coordination

What Success Looks Like

  • Customers know exactly what’s expected of them and are ready on delivery day
  • Deliveries, installers, and customer schedules line up smoothly
  • Everyone gets timely, accurate updates
  • Open items get closed, and potential delays get raised early
  • Parts orders are accurate and fast, and inventory records stay current
  • Calls, visitors, and daily office needs are handled professionally
