TDW Marine is growing, and we're looking for a capable, detail-oriented Service Administrator to help keep our office and service operations running smoothly. This is a varied role for someone who enjoys working with people, stays organized, takes initiative, and can confidently manage multiple responsibilities.
We're especially interested in someone who is tech-savvy, comfortable working across multiple software platforms, and enjoys finding more efficient ways to get things done.
What You'll Do
You'll play an important role in supporting our customers, service team, and day-to-day business operations.
- Customer Service & Coordination: Respond to customer inquiries, coordinate follow-up, and maintain accurate customer, vessel, and service records.
- Billing & Payments: Manage work authorizations, deposits, invoicing, payment processing, and accounts receivable follow-up.
- Warranty Administration: Coordinate warranty registrations, approvals, claims, documentation, and payment follow-up.
- Technology & Systems: Work across our field service management software, HubSpot CRM, and automated workflows. Maintain accurate records, troubleshoot routine issues, and help improve processes and efficiency.
- Office Administration: Support daily office operations, including phones, email, scheduling, records, meetings, and travel arrangements.
- Team Support: Coordinate employee onboarding logistics, uniforms, equipment, training arrangements, and other administrative needs.
- Events & Logistics: Assist with company events, industry networking events, registrations, and vendor coordination.
- Fleet & Workshop: Coordinate vehicle and equipment maintenance, registrations, and service records.

- Ability to manage competing priorities in a busy environment.
- Strong technical aptitude and confidence working with multiple software platforms.
- Quick to learn new systems, comfortable troubleshooting, and interested in improving workflows.
- Experience with CRM systems, field service management software, or workflow automation tools preferred.
- Experience with invoicing, accounts receivable, or service administration preferred.
- Previous experience in a service-based business or the marine industry is a plus.
- Dependable, adaptable, and willing to take on a variety of responsibilities.
