Real Estate Finance Manager / Property Manager

About Plaza Properties

Plaza Properties is a privately owned and operated commercial real estate company managing a portfolio of office and commercial properties on Long Island. We are seeking an experienced, organized, and hands-on Real Estate Manager to oversee the day-to-day financial operations of our real estate portfolio.

This position will also provide limited bookkeeping and financial support to an affiliated multi-location medical practice.

We are looking for someone who understands that great bookkeeping goes beyond entering transactions. The right person will help ownership understand how each property is performing, stay ahead of receivables and expenses, maintain strong financial controls, and provide accurate monthly reporting.

Primary Responsibilities

Real Estate Accounting & Bookkeeping

  • Maintain complete books and accounting records for multiple commercial properties and ownership entities.
  • Manage accounts payable and accounts receivable.
  • Record and categorize income and expenses accurately.
  • Perform monthly bank and credit-card reconciliations.
  • Maintain general ledgers for each property/entity.
  • Coordinate with outside accountants and CPAs for tax preparation and year-end reporting.
  • Maintain organized electronic records of invoices, leases, contracts, financial statements, and supporting documentation.
  • Assist ownership with cash-flow management and financial planning.

Rent Collection & Tenant Accounting

  • Prepare and distribute monthly tenant rent statements.
  • Track rental payments and outstanding balances.
  • Reconcile rent collections to bank deposits.
  • Identify and follow up on delinquent accounts.
  • Maintain tenant ledgers, security deposits, escalations, and other lease-related financial information.
  • Track additional rent, operating expense reimbursements, utilities, and real estate tax reimbursements where applicable.
  • Review leases to ensure rents, increases, and reimbursements are billed correctly.

Property Financial Reporting

Prepare a monthly financial dashboard for each property showing:

  • Rental and other income
  • Operating expenses
  • Net Operating Income (NOI)
  • Debt service
  • Cash flow after debt service
  • Accounts receivable and delinquent tenants
  • Major upcoming expenses
  • Budget-to-actual performance

Prepare consolidated reporting so ownership can quickly evaluate the financial performance of the entire real estate portfolio.

Vendor & Expense Management

  • Process and track vendor invoices.
  • Maintain vendor records, contracts, insurance certificates, and W-9s.
  • Review recurring expenses for accuracy.
  • Work with property management and facilities personnel regarding repairs and tenant-related expenses.
  • Review vendor proposals and assist ownership with cost comparisons and negotiations.
  • Identify opportunities to reduce unnecessary or excessive expenses.
  • Maintain appropriate approval procedures before bills are paid.

Medical Practice Bookkeeping Support

A portion of the position will assist with bookkeeping for an affiliated multi-location medical practice, including:

  • Accounts payable
  • Bank and credit-card reconciliations
  • Expense categorization
  • Vendor payment tracking
  • General bookkeeping
  • Assisting with monthly financial reports and P&Ls
  • Working with management to ensure accurate and timely financial information

The primary responsibility of this position will remain Plaza Properties and the real estate portfolio.

Qualifications

  • 5+ years of bookkeeping, accounting, or property-accounting experience preferred.
  • Commercial real estate accounting experience strongly preferred.
  • Strong understanding of A/P, A/R, general ledger accounting, reconciliations, and financial statements.
  • Experience with QuickBooks or similar accounting software.
  • Strong Excel skills.
  • Experience with rent rolls, tenant ledgers, CAM/operating expense reconciliations, and lease escalations is highly desirable.
  • Ability to manage multiple properties and entities simultaneously.
  • Extremely organized with strong attention to detail.
  • Comfortable communicating directly with tenants, vendors, accountants, property managers, and ownership.
  • Able to work independently and take ownership of deadlines and responsibilities.
  • High level of integrity and discretion when handling confidential financial information.
