We’re looking for a driven and dedicated real estate administrative assistant to join our growing team. Your job will be to complete and file the appropriate paperwork for transactions, oversee important deadlines and notify clients when necessary, adhere to legal and tax withholding requirements, and coordinate schedules for final walkthroughs and other appointments.
You’ll also work with the team to manage the production of all marketing materials and facilitate local events to foster connections with people in the community. Responsibilities:
- Comply with tax withholding processes and legal requirements
- Continue to build skills and knowledge in the real estate industry by attending educational events
- Track important dates and time limits for transactions and notify relevant stakeholders as needed
- Supervise production of all online marketing materials as well as brochures and flyers for events to professionally represent the real estate team
- Fill out all appropriate paperwork and file in the customer database to assist the real estate team in closing deals
What You’ll Do

Review and analyze purchase and sale agreements, title commitments, surveys, and closing documents

Coordinate and manage files from contract through post-closing

Communicate regularly with attorneys, buyers, sellers, lenders, real estate agents, and other stakeholders

Identify and clear title requirements by obtaining and organizing the required documentation

Prepare closing packages and supporting documents for attorney review

Schedule closings and ensure all deadlines and contract requirements are met

Provide consistent updates to clients and agents to ensure a smooth and informed transaction process

Deliver a high-level client experience aligned with our firm’s service standards
Qualifications:
- Previous experience in the real estate industry
- Flexible working schedule to accommodate clients on nights and weekends
- Either already has or is working towards real estate license
- Candidates are required to have a high school diploma or GED
- Excellent written and verbal communication skills
What We’re Looking For

Experience as a real estate closer, title processor, or title agent preferred

Strong understanding of the residential real estate closing process

Excellent organizational skills and attention to detail

Ability to manage multiple transactions simultaneously in a deadline-driven environment

Strong communication and teamwork skills

Experience with real estate software such as Qualia or similar platforms is a plus

Paralegal studies or related education are beneficial but not required

Must have prior real estate closing experience
