Job Description

We are looking for a Property Administrator to support daily property management operations located in the Greater Philadelphia Region. This long-term contract position is fully onsite and offers the opportunity to play a central role in keeping administrative, tenant service, and contract-related processes organized and running smoothly. The Property Administrator in this role will partner closely with the property management team to coordinate documentation, manage invoice workflows, and help maintain responsive service for tenants and clients.


What you get to do every single day:

• Support the property management team with day-to-day administrative activities while maintaining a detail-focused and service-oriented office environment.

• Review, prepare, and organize service agreements, bid materials, and related documentation to support vendor coordination and policy compliance.

• Code and route invoices for approval, helping ensure accurate processing and timely submission of property-related expenses.

• Maintain contract records and certificates of insurance in the appropriate system, including tracking renewals and following up on upcoming expirations.

• Monitor tenant maintenance requests and work orders, keeping records current and assisting with status reporting for management review.

• Oversee office supply levels and coordinate replenishment to support uninterrupted daily operations.

• Schedule meetings and assist with special event coordination as requested by the property management team.

• Maintain lease files, contract files, purchase order records, and other property office documentation in an organized and accessible manner.

• Assist with recurring reporting activities, budget support tasks, tenant billbacks, expense documentation, meter readings, and check request preparation for review.

Other requirements for the Property Administrator position include and are not limited to:

• High school diploma or equivalent required; bachelor’s degree preferred.

• Prior experience in customer service or an administrative support role is preferred.

• Strong proficiency with Microsoft Office Suite, including the ability to manage documents, spreadsheets, and correspondence efficiently.

• Ability to communicate clearly with tenants, vendors, internal teams, and leadership.

• Strong organizational skills with the ability to manage multiple priorities and maintain accurate records.

• Comfortable handling confidential information with discretion and professionalism.

• Ability to follow direction, work collaboratively, and build effective working relationships with stakeholders.

• Experience with Yardi is an advantage.
