Project Coordinator
Unistrut Carolinas
Unistrut Carolinas (A Division of Strut Services Group, Inc.) is a leading designer and installer of engineered support systems for overhead medical equipment, data center infrastructure, catwalk systems, and other mechanical and electrical supports.
We are seeking a highly organized, detail-oriented Project Coordinator to support our project management and accounting teams by ensuring projects are set up, documented, processed, and closed efficiently.
This position is ideal for someone who enjoys organization, documentation, and helping projects run smoothly from start to finish.
Position Summary
The Project Coordinator plays a critical administrative role throughout the project lifecycle. This individual will prepare project documentation, coordinate billing and contract requirements, maintain project files, and support the project management team with a variety of administrative responsibilities.
Responsibilities
· Prepare and submit owner and general contractor pay applications
· Create and maintain project Schedule of Values (SOV)
· Process lien waivers and payment releases
· Complete sales tax exemption forms and related documentation
· Request, track, and distribute Certificates of Insurance (COIs)
· Generate customer invoices and assist with billing activities
· Monitor accounts receivable and assist with collection follow-up
· Prepare warranty letters and closeout documentation
· Set up new projects within internal systems
· Organize and maintain electronic project files in cloud-based storage
· Coordinate project documentation between project managers, accounting, customers, and subcontractors
· Maintain accurate project records and administrative logs
· Assist with general office and project administration as needed
· Provide additional support to the operations and project management teams as assigned
· Assist with remote banking deposits
Qualifications
· Associate's degree preferred, or equivalent professional experience
· Administrative, project coordination, construction, or accounting support experience preferred
· Experience working with construction documentation is a plus
· Strong organizational and time management skills
· Exceptional attention to detail and accuracy
· Proficient in Microsoft Office, especially Excel, Outlook, and Word
· Ability to manage multiple priorities in a fast-paced environment
· Excellent written and verbal communication skills
· Self-motivated with a positive, team-oriented attitude
Preferred Experience
· Commercial construction or subcontractor environment
· Pay applications (AIA billing)
· Lien waivers and construction closeout documentation
· Accounts receivable or bookkeeping support
· Cloud-based document management systems
· ERP or accounting software (QuickBooks, Sage, Foundation, or similar)
