Pay Rate: $24-28/hour (DOE)
Location: Yorktown Heights, NY | On-site (Monday-Friday, 8:00am-4:00pm)
Job OverviewMadison Approach Staffing is recruiting for a Data Manager to support the Adult Education & Workforce Development department at our client. This role is essential to the successful operation of adult education and workforce development programs, ensuring accurate student data collection, management, and reporting for state compliance. The Data Manager collects monthly attendance and testing data from instructors, enters data into the program database by established deadlines, generates reports to track student progress, and maintains student records in accordance with New York State Education Department regulations. The ideal candidate has strong data entry skills, attention to accuracy, familiarity with database management systems, and ability to communicate effectively with instructors and administrative staff.
Key Responsibilities

  • Collect monthly student attendance, testing, and related data from instructors by established deadlines
  • Enter student data accurately and completely into program database systems
  • Verify accuracy and completeness of all data entered; identify and flag errors or discrepancies
  • Communicate with instructors regarding data submission requirements, corrections, and missing information
  • Follow up with instructors to resolve data issues and obtain required corrections
  • Run reports using database systems to track student progress, outcomes, and program effectiveness
  • Identify and investigate missing or incomplete data; coordinate with instructors to obtain necessary information
  • File and maintain hard copy student documents in accordance with New York State Education Department regulations
  • Communicate with office team regarding data status, issues, and resolutions
  • Attend New York State Education Department trainings required for this position
  • Maintain confidentiality of student records and ensure FERPA compliance

Required Skills & Experience

  • Experience: 2+ years data entry, database management, or records management experience
  • Education: High school diploma or equivalent required
  • Attention to Detail: Strong accuracy with ability to identify and correct data errors
  • Database Skills: Comfort working with database systems and data entry software
  • Computer Proficiency: Proficiency with Microsoft Office (Excel, Word, Outlook) and ability to learn new systems
  • Communication: Clear verbal and written communication skills; ability to interact professionally with instructors and staff
  • Organization: Strong organizational skills with ability to manage multiple deadlines
  • Confidentiality: Understanding of FERPA and ability to maintain student record confidentiality
  • Problem-Solving: Ability to identify data issues and work toward resolution
