Job Description

Job DescriptionPosition Summary

The Maintenance Director is responsible for planning, organizing, directing, and maintaining the physical plant, building systems, equipment, and grounds of the facility. This position ensures the facility remains safe, clean, functional, and compliant with all federal, state, and local regulations, including CMS, New Jersey Department of Health, OSHA, NFPA, and Life Safety Code requirements. The Maintenance Director works closely with all departments to provide a safe, comfortable, and well-maintained environment for residents, visitors, and staff.

Essential Duties and ResponsibilitiesFacility Operations

  • Oversee the daily operation of the Maintenance Department.

  • Maintain all building systems, including HVAC, plumbing, electrical, fire alarm, sprinkler, generator, boilers, medical gas (if applicable), and security systems.

  • Perform routine inspections of the facility to identify maintenance needs and safety concerns.

  • Ensure all resident rooms, common areas, offices, and grounds are properly maintained.

  • Maintain the facility parking lots, sidewalks, landscaping, and exterior appearance.

Preventive Maintenance

  • Develop and maintain a comprehensive preventive maintenance program.

  • Schedule and document routine maintenance of all equipment and building systems.

  • Ensure timely repair or replacement of damaged equipment.

  • Maintain maintenance logs, inspection records, and service reports.

  • Coordinate annual inspections, certifications, and testing of required equipment.

Life Safety & Regulatory Compliance

  • Ensure compliance with CMS, New Jersey Department of Health, OSHA, NFPA, EPA, and local building codes.

  • Maintain compliance with the Life Safety Code.

  • Coordinate and document fire drills as required.

  • Ensure fire doors, smoke barriers, exits, emergency lighting, and fire extinguishers remain compliant.

  • Conduct regular environmental rounds to identify and correct potential hazards.

  • Maintain documentation required during state surveys and life safety inspections.

  • Assist leadership during annual surveys and regulatory inspections.

Emergency Preparedness

  • Maintain the facility Emergency Preparedness Program.

  • Ensure emergency generators are tested and maintained according to regulatory requirements.

  • Participate in disaster drills and emergency response planning.

  • Ensure emergency equipment is readily available and functioning properly.

  • Respond promptly to facility emergencies, including floods, utility failures, severe weather, and fire alarms.

Work Order Management

  • Receive, prioritize, assign, and complete maintenance work orders in a timely manner.

  • Ensure resident maintenance requests are completed promptly and professionally.

  • Maintain records of completed repairs and outstanding work orders.

Supervision

  • Supervise maintenance personnel and outside contractors.

  • Schedule department staffing to ensure adequate coverage.

  • Provide orientation, training, coaching, and performance evaluations.

  • Promote teamwork and maintain a safe working environment.

Environmental Safety

  • Conduct regular safety inspections throughout the facility.

  • Identify and correct hazards related to resident safety.

  • Maintain compliance with OSHA regulations and workplace safety standards.

  • Ensure proper storage and handling of chemicals and hazardous materials.

  • Monitor indoor air quality, water temperatures, and environmental systems.

Vendor & Contractor Management

  • Coordinate outside vendors for repairs, inspections, and preventive maintenance.

  • Obtain estimates and monitor contractor performance.

  • Ensure vendors comply with facility policies and safety requirements.

Budget & Inventory

  • Assist with preparation and management of the maintenance budget.

  • Monitor supply inventory and equipment needs.

  • Order maintenance supplies while maintaining cost-effective purchasing practices.

  • Maintain inventory of tools, equipment, and replacement parts.

Interdepartmental Collaboration

  • Work closely with Nursing, Housekeeping, Dietary, Administration, and other departments to ensure facility needs are met.

  • Assist with room readiness for admissions and transfers.

  • Support renovation and capital improvement projects.
