Job Description

The Project Coordinator is responsible for supporting the successful execution of the Company's National Amtrak contract by coordinating project activities, managing subcontractor relationships, maintaining project documentation, and ensuring the timely completion of project deliverables. This role serves as a critical link between internal teams, subcontractors, and stakeholders, helping to ensure projects are completed efficiently, compliantly, and in alignment with organizational objectives.

Essential Duties and Responsibilities

  • Identify, evaluate, and onboard qualified subcontractors to support project requirements while maintaining high standards of quality, safety, and performance.
  • Serve as the primary point of contact between project teams and subcontractors, facilitating clear communication and ensuring alignment on project scope, expectations, and deliverables.
  • Develop, maintain, and manage project databases, records, and tracking systems to monitor project progress, subcontractor performance, key milestones, and other critical metrics.
  • Coordinate project schedules, labor resources, materials, and logistics to support successful project execution and on-time completion.
  • Monitor project activities to identify potential risks or obstacles and collaborate with stakeholders to implement effective solutions.
  • Ensure compliance with applicable contractual requirements, safety regulations, quality standards, and company policies throughout the project lifecycle.
  • Prepare and distribute project reports, status updates, and performance metrics for management and stakeholders.
  • Support project managers with administrative and operational functions, including documentation management, meeting coordination, and follow-up on action items.
  • Foster positive working relationships with subcontractors, clients, and internal departments to support long-term project success and continuous improvement initiatives.

Qualifications

  • Strong organizational, project coordination, and multitasking skills.
  • Excellent verbal and written communication abilities.
  • Experience managing subcontractor relationships and coordinating multiple projects simultaneously.
  • Proficiency in Microsoft Office Suite and project tracking/database management systems.
  • Ability to analyze data, prepare reports, and maintain accurate project records.
  • Strong attention to detail and commitment to quality, compliance, and customer service.
